The Executive Assistant position supports the faculty and staff within the Bloorview Research Institute.

By partnering with those they support, this incumbent will act as an ambassador for the Bloorview Research Institute and Holland Bloorview.

Please note this opportunity is a
part-time position for 37.5 hours per week.


Core Responsibilities

  • End to end coordination including but not limited to maintaining, organizing, and coordinating the schedule, logistics and administrative needs of various leadership colleagues
  • Manages calendars, plans and schedules appointments and meetings
  • Collects, organizes, summarizes, edits and prepares reports and correspondence
  • Arranges meetings and conferences, including catering, audio/visual equipment, distribution of data (prepares agenda, distributes minutes etc.), booking rooms, refreshments and travel arrangements
  • Coordinates orientation and training for new staff as directed including the completion of necessary paperwork and administrative steps such as coordinating staff and student contract end dates with the institute
  • Provide administrative support for faculty, staff and committees as required
  • Supports the coordination of special events and/or conferences for the program
  • Reconciling administrative financial duties such as corporate credit card reconciliation, payroll for unit, preparing purchase orders and expense reports
  • Maintenance of minor equipment and assets such as laboratory assets and associated documentation
  • Support the maintenance of faculty CVs to ensure information is accurate and up to date
  • Other duties as assigned

Qualifications

  • Graduate of a college program or equivalent
  • Minimum of 3 years administrative experience in an administrative setting supporting executives and leadership
  • Ability to work within a rapidly evolving, fastpaced environment with mínimal supervision
  • Exceptional customer service skills with a demonstrated ability to communicate effectively in verbal and written form with all parties
  • Proactive with coordination skills
  • Strong organizational skills
  • High level of attention to detail and superior problemsolving skills
  • Works collaboratively within a team environment
  • Moderate competencies with Microsoft Office products (Outlook, Word, Excel, PowerPoint). Technical competency assessment will be conducted

Preferred Qualifications

  • Undergraduate degree in health, science or business
  • Experience in a hospitalbased research institute environment
  • Handson experience with scientist's Curriculum Vitae (CV) e.g. Canadian Common CV
