As per the current Public Health Order, full vaccination against COVID-19 is a condition of employment with PHSA as of October 26, 2021.


Under the general direction of the CIS Project Manager, the Administrative Secretary performs a variety of secretarial and administrative support activities related to the CIS Patient Scheduling Project.

Most duties are performed independently; general direction is provided regarding multiple workload demands.


What you'll do

  • Arrange adhoc and standing meetings as directed, book meeting rooms and circulate notices and agenda.
  • Attend a variety of project/team meetings to record proceedings, prepare minutes/reports and takes follow up action as a result of such meetings.
  • Using a Word Processing package types a variety of project documents such as correspondence, memos, issues reports, budget status, signoff sheets by transcribing from dictation and/or written draft.
  • Set up and maintains filing system for project materials such as correspondence, project plans, project issues lists.
  • Access Excel spreadsheets and Project to input data and print reports.
  • Compose routine correspondence from verbal and written instructions and submit for approval and signature.
  • Coordinate the work flow of assigned area by organizing operating procedures such as ordering supplies.
  • Perform other related duties as assigned.

What you bring
Education, Training and Experience

  • Grade 12, graduation from a recognized secretarial program, including a recognized course in medical transcription and three (3) year's recent, related experience or an equivalent combination of education, training and experience.
Skills & Knowledge

  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out duties of the position.
  • Ability to organize work.
  • Ability to operate related equipment.
  • Typing 60 wpm.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC and BC's Declaration on the Rights of Indigenous Peoples Act
