Job Summary


The Partnerships Coordinator, Athletics and Recreation, is responsible for leading the administrative projects and support services related to Athletics and Recreation's partnerships which includes planning, managing, resource allocation and executing administrative initiatives and special projects; managing internal and external partner relationships; preparing documentation and proposals; and developing and improving administrative procedures and policies.


This position is also responsible for liaising and communicating with both internal and external stakeholders, controlling and completing Athletics & Recreation identified partnership projects, identifying and allocating project resources while ensuring consistency with UBC's Athletics & Recreation vision and strategic goals.

This role will work in conjunction with the Associate Director, Partnerships, in the development, planning, and execution of a wide array of special projects.

The role requires the ability to build relationships, lead the administration and project function, and successfully provide project management leadership primarily within and on behalf of the Department.

Organizational Status


Athletics & Recreation (A&R) is a department within the VP Students portfolio, with a strong focus on creating an exceptional UBC student experience.

The A&R Department has a team of approximately 125 employees, and is led by a strong cross-unit management team.

It services over 60,000 students through recreational programming, 26 varsity teams, and 13 competitive clubs along with thousands of members of the UBC community.

The Partnerships Coordinator reports to the Associate Director of Partnerships.

Works closely with other staff within the Department, a few A&R working groups and consultants, other partners, as well as internal and external stakeholders.

Work Performed


Partnerships Administration and Service- Provides advice and leadership to the senior leadership team and Coaches/units to facilitate and administer external and internal partnerships.

Identifies issues, resolves and triages as necessary.- Responsible for overseeing partner management in terms of events, activations, deliverables, contracts, etc.- Responsible for preparing proposals and agreements, building calendar of events for partners and invitations and building fulfillment reports. Manages and provides advisement on the allocation of sponsorship inventory and prizes; work with Marketing colleagues on plans to distribute and enhance partner visibility.- Collaborate with Marketing and Event staff on successful partnership involvement.- Works with and provides advice to external vendors or third parties that are necessary for involvement in a partnership.- Work with contractors and other staff colleagues to plan and execute special projects.- Develop overarching departmental partnership policies and guidelines, improve administrative procedures including the development and maintenance of departmental policy manuals and planning documents.- Reviews and assesses current processes and procedures within the department, identifying gaps and opportunities for improvement; designs and implements workflow changes to increase operational efficiency of the department in regards to partnerships.- Collaborates with senior leaders on current and potential partnership assessments/initiatives.- Plans and helps the delivery of key department-sponsored staff engagement events as required.- Represent Partnerships in internal meetings and to be aware and able to speak of existing and prospective partnerships.- Responsible for maintaining sponsor assets on website and social, and organize sponsorship files.- Contributes to strategic planning, annual reports and other special projects as required.


Project Coordination- Manages the planning, timeline identification, implementation and reporting for various identified Partnership projects across the department.- In conjunction with the Associate Director, Partnerships, develops and identifies Partnership project budget and resource allocation.
