Description

We are looking for a motivated individual who is committed to growing their professional career at Vanpile while gaining valuable knowledge and experience through a variety of assignments.


Key Responsibilities:


  • Oversees reception and requisite duties, ensuring that all guests are greeted, phones and messages are answered, and the security and safety of the office are maintained
  • Manages inoffice services related to BTC phone system, security, janitorial and photocopier maintenance/supplies and reporting
  • Oversees purchasing and inventory of all office supplies and office consumables
  • Manages and oversees the use of common areas, keeping them clean and clutterfree, organized, in good working order, stocked and ready for use including conference rooms, kitchen, supply rooms, and storage
  • Main point of contact for internal and external clients with inquiries
  • Assists in the coordination and execution of meetings and special events, including room reservations, catering, technical support, etc.
  • Coordinates the booking and setting up of meeting rooms
  • Organizes and files company documents either electronically or with a paper filing system
  • Assists in the processing of incoming AP invoices, packing slips and reconciliation of monthly statements

Qualifications/Requirements:


  • Prior reception experience
  • Excellent oral communication skills, including active listening
  • Knowledge of administrative and clerical procedures is an asset
  • Use of computer software Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
