Job Purpose


To address the ever-changing food industry landscape and support the growing needs of our member and partner food programs, this position will provide supports and systems to the existing Food Bank Distribution Services (FBDS) program that is operated by The Food Bank of Waterloo Region (The Food Bank) and be the lead for The Food Bank Southwest Feed Collaboration Pilot (The Pilot) in partnership with Feed Ontario.

The overarching goal of The Pilot is to strategically grow and address local and provincial food procurement goals.

This position is a one-year renewable contract, dependent on the success of the FBDS program and The Pilot.

Responsibilities and Duties

Food Procurement (75%)

  • Develop a comprehensive work plan with measured outcomes for food procurement included acquisition strategy, updated industry research, food inventory planning and CRM
  • Focus on food solicitation on behalf of a Network of Food Banks with a provincial and national focus and linkage to existing and emerging food sharing programs
  • Complete annual research update on potential food donors and food industry trends looking for opportunity and innovative approaches.
  • Foster stakeholder and donor relationships and stewardship aligned with fundraising best practices.
  • Identify collaborative partnerships within Food Bank Network to maximize donation potential or opportunities
  • Build and maintain relationships to ensure the sharing of contacts, challenges, opportunities with other members who employ food procurement focused staff
  • Create consistencies and synergy in supports and approaches
  • Develop tools and resources to support local efforts and consistent approaches to information sharing and relationship building
  • Explore new and diverse food sourcing opportunities including 3rd party partnerships (with contractual agreements)
  • Support provincial/national projects and programs (such as producer group solicitation and stewardship, retail campaigns and food drives)
  • Partner Agency Relations and Communication (15%)
  • Participating in meetings and discussions with provincial partners on how to implement and/or improve The Pilot understanding gaps in inventory and priority food needs.
  • Work with provincial partners to help directing excess food resources to The Pilot, to leverage opportunities throughout Southwestern Ontario for the benefit of both regional and provincial food bank members
  • Developing a communication model where excess food resources can be shared with the broader region (and provincial network, if applicable) efficiently
  • Leveraging regional and provincial logistics capacity to capture excess food donations
  • Utilizing provincial capacity, where appropriate and requested, to support local food procurement efforts (e.g. solicit potential donors when requested)
  • Collaborate on food donor stewardship, where appropriate and requested, to engage food donors and encourage future food donations
Logistics Liaison (5%)

  • Ensure seamless pick up and delivery of product to Distribution Centre and partner programs
  • Explore and utilize 3rd party transportation opportunities when required
Administration and Donor Relations (5%)

  • Track and measure all product related statistics (product in and out, trends, product type, donor reports and detailed agency reports) related to food procurement.
  • Maintain accurate records, including call logs and develop a system for regular followup and communication with donors (using Raisers Edge).
  • Provide monthly food donation statistical reports and donor recognition reports.
  • Create and regularly update solicitation materials including donation impact information for use in retail store programs and corporate donor calls.
  • Together with the Development Team, develop and implement an annual donor recognition strategy.
  • Effectively communicate and share information with the Feed Ontario regarding food and product procurement.
  • Provide exceptional customer service to partner agencies, food programs, donors, and other stakeholders.
  • Communicate product priorities and requirements, successes, and obstacles to weekly team meetings.

Location and Hours

  • The Food Bank of Waterloo Region is located at 50 Alpine Court in Kitchener, Ontario.
  • The role is hybrid requiring time in the office, with the some ability to work from home.
  • The Food Bank building is open to the public from 8:30am to 4:30pm. However, this position has flexible hours and requires extensive travel throughout Southwestern Ontario and the GTA.
