We are currently looking for two Executive Assistants (EA) to support our Vice Presidents and play a significant role in achieving Civida's short and long-term strategic goals through establishing and maintaining effective relationships and providing excellent service.


Key Responsibilities:


  • Coordinates and maintains multiple calendars and schedules using knowledge of priorities and relationships to respond to, coordinate, and follow through on requests for meetings
  • Coordinates and organizes daily schedules utilizing Microsoft One Note, ensures appropriate background materials are prepared in advance of meetings.
  • Collects and prioritizes discussion items for leadership meetings, prepares agendas, creates meeting minutes, and finalizes meeting packages.
  • Follows up on action items and commitments made from Executive Leadership team and staff meetings
  • Assists with department meetings including scheduling meetings, tracking deadlines, ensuring meeting materials are available, preparing meeting agendas, recording and distributing meeting minutes as required.
  • Liaises with Executive Assistant to the Chief Executive Officer (CEO) and other EAs to ensure effective information flow to and from the Senior Leadership Offices.
  • Reviews, sorts and prioritizes all incoming correspondence and mail.
  • Coordinates with other internal stakeholders for information or requirements of the Senior Leadership Officers.
  • Drafts general correspondence for signature as required and reviews all documentation for signature.
  • Prepares presentations and materials as required.

Qualifications:
  • Diploma in Business, Administration, or related discipline required. Certificate plus experience may be considered.
  • Minimum 4 to 5 years' experience in a Senior Administrative Assistant role working with Executives is required; preferably in nonprofit and/or public sector.
  • Experience working with Boards is required.
  • Experience supporting C-Level Executives is considered an asset.
  • Knowledge/experience in finance is considered an asset.
  • Exceptional computer skills and excellent knowledge of MS Office Products
  • Exceptional written and oral communication skills.
  • Excellent resourcefulness, initiative and professionalism.
  • Able to build and maintain lasting relationships with corporate departments and key external stakeholders.
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Strong attention to detail in all areas of work.
  • Ability to work hours outside of regular office hours as required including weekends when necessary.
  • Access to a vehicle is required.
