Full time permanent position


Work schedule:
Monday to Friday from 7:30am to 5pm (35 hours per week) - 7 hours / day


ROLES AND RESPONSIBILITIES:


Under the authority of the School's Director, the main role of the Administrative Secretary is to perform the various functions of a school secretariat, including customer service to students, which occupies a large part of his or her responsibilities and the coordination of the secretariat's administrative work.


  • Greets, informs and directs clients by telephone, internal messaging and within the institution;
  • Compose documents, design and write memos and routine correspondence;
  • Process and follow up on purchase orders;
  • Research and prepare summary of complex problems and issues;
  • Maintains and verifies compliance with schedules and procedures;
  • Maintain and monitor schedules and procedures; Record and follow up on meetings attended;
  • Communicates information relevant to his/her area of expertise;
  • May have to carry out part or all of the work in a sector of activity.
  • Communicate information within his/her competence;
  • Maintains data that affects departmental budgets and produces reports as required according to established procedures;
  • Advise staff on administrative language and on the presentation to be adopted in correspondence and in the documents to be produced;
  • Participates in the development of the college filing system and is responsible for the department's document management;
  • Use the information and communication technology tools at his/her disposal in relation to the work to be done;
  • Maintains and distributes the teachers' educational material.
  • Maintain the agenda of the people with whom he/she collaborates and organize the activities related to their internal or external meetings;
  • As needed, perform any other related duties.

QUALIFICATIONS:


  • Hold a Diploma of Vocational Studies (DVS) with an option related to this position or an attestation of studies whose equivalence is recognized by the competent authority;
  • Minimum of four (4) years of experience relevant to the position.

PERSONAL SKILLS:


Beyond the basic requirements, you will thrive in this position if you enjoy contact with students and care about their success and college life.

Communication skills and an appreciation for teamwork are also essential to this role.

  • Excellent frontline customer service skills;
  • Excellent oral and written expression and comprehension in French and English;
  • Dynamic and energetic;
  • Knowledge of educational administrative procedures is an important asset;
  • Advanced knowledge of software used (Word, Excel and Outlook);
  • Knowledge of CLARA software is desirable;
  • Excellent team player.
