Convergint is looking for a full-time, team-oriented, results-driven, Business Services Coordinator, to join our amazing culture at our Brantford location.

The Business Services Coordinator provides skilled administrative support, contributing to the overall effectiveness of the Management team and will relieve Managers of daily and longer-term administrative workload activities, through the handling of action items, and the performance of assigned tasks.

You will greet and assist customers (visitors, customers, colleagues) in face-to-face interactions or by telephone, serving as the first point of contact to providing exceptional customer experiences.

What you'll do with "Our Training and Your Experience"

  • Acts as the first point of contact in answering incoming calls, screening calls where necessary and routes to appropriate colleagues. Relays all messages in a prompt and professional manner
  • Greets all visitors to Convergint in a professional and courteous manner. Ensures that all customer experiences on Convergint's premises are positive
  • First point of contact to coordinate receiving and dispatch of goods with transporters and suppliers in timely manner.
  • Authenticate the goods received and record and manage shipments that have any discrepancies in the order. Work with the Purchasing team to address any issues.
  • Inventory management: Keep and maintain accurate records of all the inventory and stock in the warehouse. This includes facilitating quarterly counts, timely and accurate updates of the inventory listing and adherence to the materials transfer process.
  • Ensure the proper handling and storage of goods and supplies.
  • Follow all Company health and safety policies and procedures. Adhere to legal documentation norms pertaining to warehousing.
  • Ensure the warehouse is clean and organized.
  • Track and manage the tool inventory matrix for the location.
  • Inquire, investigate and escalate colleague requests regarding delayed expenses. Act as the point of contact.
  • Training of expense completion with current colleagues, supervisors and new colleagues joining Convergint.
  • Point of contact to review, correct and escalate Colleague expenses, submit and liaise with Finance toward accurate and timely processing.
  • Provide administrative support as required including, but not limited to: fleet administration, vacation schedule, uniform inventory and distribution, assist technicians with expenses, order stationary and office supplies, pick up mail, mail out fire verification reports, organize recycling.
  • Draw purchase orders when required and scan packing slips to the purchasing team for processing in a timely manner.
  • Assist Human Resources with onboarding new hires, ensuring the new hire packages are completed along with all other items on the new hire orientation schedules.
  • Provide support as required for setting up new laptops and cell phones for new colleagues.
  • Organize location events in conjunction with the location's management team including Convergint Day, major meetings, Safety meetings and AGMs.
  • Keep up to date and informed on all company policies.
  • Present a professional image of Convergint at all times in appearance and behavior.
  • Act as "our customer's best service provider" at all times thereby ensuring Convergint is the customer's first choice for service.

What You'll Need

  • Ability to lift 30lbs using proper lifting techniques at all times
  • Strong computer skills including Word, Excel, PowerPoint and Outlook and Internet research skills.
  • Strong organizational and time management skills with a high regard for attention to detail.
  • Must be a selfstarter and work well with limited supervision.
  • Strong verbal, written and interpersonal communication skills.
  • Good financial knowledge and skills—ability to understand basic financials such as accounts receivable/payable, purchase orders, work orders, etc.
