ABOUT THE COLLEGE:


The College of Occupational Therapists of Ontario (COTO) is the regulatory organization that oversees the practice of occupational therapists (OTs) in Ontario.

***: This role reports to the Investigations & Resolutions Manager and will be responsible for various accountabilities, including but not limited to those listed below.


KEY FUNCTIONS AND RESPONSIBILITIES:


  • Acts as first point of contact for complaints, reports, updates and inquiries concerning Investigation and Resolution matters.
  • Processes and drafts all correspondence and documents related to case files in a timely manner as assigned by the I&R Manager
  • Develops & maintains case files in hardcopy and electronic form, throughout the I&R process, monitoring all activity related to each file and taking timely and appropriate action.
  • Completes the intake process for all complaints, reports and inquiries.
  • Assists in the development and ongoing management of the I&R database, including development of queries and data management reports.
  • Accurately enters all relevant data about complaints, reports, inquiries and hearings into the I&R electronic database and case management tracking logs.
  • Conducts all routine communication with members of the ICRC, Discipline Committee and Fitness to Practise Committee.
  • Provides administrative support to assigned committees and assists with monitoring and compliance directives for assigned committees.
  • Contributes to the finetuning of project plans, and prioritizes activities to meet project timelines, milestones and deliverables.
  • Meets with colleagues from various departments to discuss crossprogram projects and initiatives, share information and provide backup/assistance, and to share knowledge and expertise regarding the program and iMIS database functionality.

EDUCATION /EXPERIENCE:


  • College or University degree in Business, Healthcare, Paralegal studies, or other related areas
  • Minimum of 2 years' experience in an Administrative or Legal Support position
  • Background in healthcare, regulatory or legal setting is an asset
  • Experience working with Councils/Boards and Committees is an asset
  • Familiarity with sophisticated database management (iMIS or comparable CRM) and document management software
  • Fluency in French is an asset

  • Able to set priorities and organize work effectively to meet deadlines.
  • Data entry skills with demonstrated speed and accuracy.
  • Advanced computer knowledge, including MS Word, database management, and document management systems.
  • Flexible, positive, and energetic; comfortable adapting to change and fostering an environment that welcomes it.

COMPENSATION AND BENEFITS:

The starting annual salary for this position is $53,144. Salary may change depending on level of experience.

The College's physical office is located at 20 Bay Street (Suite 900), Toronto, ON. Located in the downtown core, next to Union Station and the PATH. Our offices provide convenient, ideal access to public transit.
