We are a fast-growing organization, and we are currently seeking an Executive/Personal Assistant to support our Founder and CEO and join our high-achieving, diverse, innovating team.


The Opportunity:


Role Description:


  • Be a proactive, valueadded key team member by managing and executing multiple projects and activities and provide broad support to the CEO.
  • Undertake administrative tasks for the CEO, including scheduling & organizing meetings, travel arrangements, expense management, etc.
  • Proactively manage the CEO's daily company and personal calendars, attend meetings and take minutes as needed, and answer correspondence and calls on behalf of the CEO.
  • Assist with the preparation and organization of financial, administrative, and personal documents and reports as needed.
  • Properly handle confidential correspondence, conversations and files.
  • Research & draft relevant documentation in an array of topics as required.
  • Oversee and coordinate administrative and personal tasks on behalf of the CEO.
  • Proactively anticipate CEO's needs.
  • Coordinate, prioritize, and optimize the CEO's time.
  • Help complete priority items for the CEO with a high level of quality and confidentiality.
  • Run errands as requested.
  • Support the CEO with other tasks as assigned.
  • 3+ years of relevant experience as an Executive/Personal Assistant in a fastpaced environment.
  • A postsecondary education, or an equivalent combination of education and experience.
  • Must have a valid Ontario driver's license and own vehicle.
  • Flexibility to work in an office environment, or CEO's home office, or on the move as requested.
  • Excellent written and oral communications skills, including editing, notetaking, transcribing, minutetaking, and proofreading skills.
  • Exceptional organizational and time management skills, able to manage competing priorities, deadlines, as well as the flexibility to adjust to changing needs.
  • High degree of social intelligence, integrity, and maturity.
  • Collaborative, resourceful, flexible and adaptable.
  • Outstanding planning skills with meticulous attention to detail.
  • Ability to think critically and evaluate situations and solve problems with tact and good judgement.
  • Professional demeanor and ability to maintain strict standards of confidentiality.
  • Establish and maintain excellent customer relations with clients and team members.
  • Proficient in Microsoft Office tools.
  • Flexibility to work outside normal business hours as required.
  • Must be legally eligible to work in Canada.
