    : Associate, Total Rewards and Systems

    Reporting to the Manager, Total Rewards and Systems, the Associate, Total Rewards and Systems provides functional and technical support in the areas of total rewards, systems and organizational development and learning. The Associate, Total Rewards and Systems plays a key role in ensuring data integrity within the HR information systems (HRIS) and participates in informing and enhancing the overall efficient flow of information to support HR processes. As well, the Associate, Total Rewards and Systems provides administrative coordination and leadership in various HR programs.

    Key Responsibilities

    Data Entry and Integrity

  • Acts as the first point of contact for enquires on the appropriate use of the HRIS and Personnel Action Forms and provides instruction and education to new users. Responsible for updating the HRIS and other related systems (e.g. benefit provider portal) to accurately reflect personnel-related data changes, including pay, position, contract codes, benefits, withholding, and other changes, within established timelines.
  • Participates in regular and ad hoc audits to ensure data entry is accurate and system integrity is maintained. Flags anomalies with the People and Culture team and may play a key role in their resolution.
  • Leads and/or assists in processing system updates to dictionaries.
  • Plays an active role in continuous quality and process improvement.
  • Process/Program Administration and Coordination

  • Leads administration of the e-Learning system (Dual Code). Responsibilities include account set up and management, uploading course files, troubleshooting issues related to user access and preparing compliance reports.
  • Provides oversight and coordination of various programs, such as the Benefit Subsidy Program, which may include communication with employees and stakeholders, tracking and invoice coordination.
  • Provides administrative and logistical support on various projects and programs, including but not limited to the annual salary administration process, tuition reimbursement program, CPR and NVCI training.
  • Provides front desk coverage on a rotational basis, which includes responding to visitor enquires and/or triaging needs, as appropriate.
  • Performs other duties as assigned.
  • Qualifications

  • Minimum of 3-5 years administrative experience with strong skills in system data entry and auditing.
  • Post secondary graduate. Education in Human Resources Management is an asset.
  • Significantly skilled with MS Office Products: Excel, Word, PowerPoint and Outlook. Ability to generate Excel spreadsheets with advanced formatting and filtering options.
  • Able to work in a fast-paced environment with frequent interruptions and deadlines.
  • A well cultivated critical thinker. Raises vital questions and problems, formulating them clearly and precisely.
  • Demonstrates excellent interpersonal and communication skills.
  • Strong organizational skills and event planning experience. High level of attention to detail.
