JANA's Payroll/HR Specialist is an enthusiastic, creative and meticulous individual, with a passion for people and drive for details.

You will support JANA's HR and Finance Teams, with a focus on Payroll support, Benefits administration, HR and Recruitment support.

You will manage personnel files, perform compliance audits, and maintain employee information in the Payroll, Benefits, and HRIS systems.

The HR/Payroll Specialist reports to the VP, Human Resources.


Responsibilities:


  • Setting up, running, and reconciling semimonthly Payroll for 200+ employees, including adjustment entries, and yearend processing.
  • Processes New Hires, Employee Changes, and Separations in the Payroll, Benefits and HRIS systems.
Updates Payroll (ADP) system with changes in job title, salary, department, division, corresponding to changes made in HRIS system.

  • Provides HR administrative support, supports recruitment process and additional support to Finance team.
  • Supports JANA's recruitment process, including managing posted positions, shortlisting resumes, performing phonescreens, scheduling interviews, performing background checks and checking onboarding documents.
  • Supports Coop and Summer Student Recruitment, in collaboration with hiring manager.
  • Drafting of employee offers, contracts, and other employee changerelated documentation.
  • Maintains Personnel Files, runs data checks to ensure all records are accurate
  • Serves as a point of contact for any Benefitsrelated requests.
  • Responds to general questions from employees and ensures issues are answered in a timely manner, or escalated as required.
  • Maintains the absolute highest levels of confidentiality and integrity.
  • Responds to employment verification requests and provides employee letters and supporting documentation
  • Produces excellent work product, demonstrating a high level of initiative and independent performance.
  • Completes special projects/other duties as assigned.
Required Skills & Experience

  • Undergraduate degree, preferably in Business, Human Resources, Administration or equivalent.
years of Payroll and Benefits, or HR administrative support experience.

  • Completion of, or working towards, Payroll designation, an asset.
  • Proven ability to work in a fast paced and deadlinedriven environment, managing conflicting priorities.
  • Meticulous, selfmotivated, able to work independently as well as part of a serviceoriented team.
  • Exceptional written and verbal communication skills.
  • Experience with ADP WorkforceNow HRIS & Payroll, an asset
  • Demonstrated professionalism in dealing with highly sensitive and confidential issues and individuals at all levels of the corporation.
  • Excellent MS Office skills
  • MS Excel, Word, PowerPoint, Access, and experience with HRIS systems.
  • A team player with a positive attitude, setting high standards for personal achievement and encouraging the JANA Team as a whole.
  • Summarizes information concisely and utilizes data to draw conclusions and make factbased decisions.
