KEY FUNCTION:


Collect and report statistical information to internal and external stakeholders, ensure departmental data quality protocols and procedures are followed, and ensure reporting timelines are met.

Provide administrative services to support communication, documentation, and coordination of various meetings and projects.


REPORTING:

Under the general direction of the Director, Decision Support.


DUTIES:


  • Collect and report required statistical information required for internal and external reporting (e.g. patient activity, workload statistics, and bed numbers).
  • Document and update procedures related to internal and external reporting to ensure data quality and rules, and data validation are integrated into business processes.
  • Assist in executing data validation, data integrity, and data auditing.
  • Oversee various statistical data/report submissions on a monthly and quarterly basis (i.e. The Bed Census Summary (BCS), Trillium Gift of Life, and Self-Reporting Initiative (SRI)) to the Ministry of Health (MOH) and Ministry of Long-Term Care (MOLTC).
  • Provide administrative support services by preparing, organizing and coordinating projects and track progress.
  • Coordinate the preparation and distribution of meeting agendas and attend meetings to record minutes.
  • Determine and align improvement projects with HSN's Strategic Plan; monitor and adjust to achieve goal outcomes.
  • Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
  • Educate and promote health, safety and wellness in the work place.
  • Represent the department or program on various committees and in meetings as required.
  • Perform other duties as required.

QUALIFICATIONS

EDUCATION AND TRAINING:


  • Minimum of a two (2) year Diploma from an accredited college.
  • Ministry of Labour "Worker Health and Safety Awareness in 4 Steps" training certificate is required.

EXPERIENCE:


  • Six (6) months experience working in an office environment is preferred.
  • Experience with reporting health care related data is preferred.
  • Project management experience is preferred.

KNOWLEDGE/SKILLS/ABILITIES:


  • Demonstrated excellent attention to detail, problem solving, and critical thinking skills.
  • Demonstrated ability to collect, document, and present data.
  • Demonstrated excellent judgment and proven analytical skills.
  • Demonstrated ability to type a minimum of 50 w.p.m.
  • Demonstrated training, experience or utilization of lean methodology for process improvement.
  • Demonstrated ability to independently identify issues, plan improvements, measure success and continue improvement.
  • Demonstrated excellent computer skills with proficiency in Microsoft Office software, (e.g. Word, Excel, Power Point and Outlook) and patient information systems.
  • Demonstrated superior interpersonal and communication skills, both written and verbal.
  • Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities and challenging deadlines.
  • Demonstrated discretion and maturity when handling confidential information.
  • Demonstrated commitment to the safety of coworkers and patients.

PERSONAL SUITABILITY:


  • Successful Criminal Record Judicial Matters Check (CRJMC) is required.
  • Demonstrated ability to work independently and in a team environment.
  • Demonstrated ability to perform with mínimal supervision; to prioritize duties.
