How will you contribute?:

  • We are looking for a dynamic Event Coordinator to join our team. The Event Coordinator will be responsible for a variety of tasks related to the coordination and planning of events hosted by or involving the Speaker of the Senate.
The requirements of the position are dictated by the nature of the events undertaken, but typically include:

  • Establish a detailed events calendar to ensure efficient organization;
  • Develop draft event plans and work towards final approval;
  • Coordinate with and/or supervise other support personnel such as wait staff, professional photographers, calligrapher, etc;
  • Manage invitations, including RSVP and followup;
  • Plan and negotiate menus with caterers;
  • Prepare protocol gifts for special guests or speakers;
  • Prepare all financial and other administrative processes arising from events for approval by the Chief of Staff.
    Open to:The general public, to staff one (1) indeterminate fulltime position.
Please note that "indeterminate" refers to an employment contract with no specified end date.


Prerequisites:


  • Bachelor's degree in business administration, communications, hospitality management or a field related to the position and/or an acceptable combination of education, training and experience;
  • Extensive experience in planning and coordinating events, inperson or virtually;
  • Experience in developing and maintaining relationships with senior officials and/or parliamentarians and/or stakeholders;
  • Extensive experience in using the MS-Office suite;
  • Knowledge of the theories, principles, methods and industry best practices pertaining to event planning;
  • Strategic and organized thinker with the ability to coordinate and multitask to accomplish a variety of activities with tight timelines;
  • Very good written and verbal communication skills in both official languages;
  • Knowledge of Parliament and the Canadian political landscape is considered an asset.
