SUMMARY:

The Canadian Language Benchmarks - Online Self-Assessment (CLB-OSA) and Niveaux de compétence linguistique canadiens - Autoévaluation en ligne (NCLC-AEL) are web-based language assessment tools designed to measure English / French language proficiency in Listening and Reading.

The Administrative Assistant will work in a dynamic environment, providing support to the project as a team player with excellent administrative skills, a strong sense of ownership, and the ability to communicate effectively at all levels.

The Administrative Assistant will be creative, flexible and able to learn quickly. Excellent problem-solving, analytical, and time-management skills are required.


DUTIES & RESPONSIBILITIES

  • Provide comprehensive support to the Coordinator
  • Handle requests for program information from testtakers, professionals assisting prospective immigrants / newcomers, and other stakeholders
  • Ensure prompt response to all Help Desk inquiries
  • Maintain various admin logs in a timely manner and track trends
  • Research, update and maintain the Resources and Useful Links webpages
  • Conceptualize and design materials for outreach and promotional purposes
  • Plan, coordinate, and conduct outreach / promotional activities including social media marketing and engagement activities
  • Manage CLB-OSA/NCLC-AEL social media channels and monitor analytics traffic
  • Participate in conferences by assisting at exhibitor booths and project displays
  • Work collaboratively with other team members on special projects and tasks
  • Liaise with Language Training Providers and other community stakeholders
  • Assist in the compilation of statistical and status reports
  • Test new online tools, Admin panel features and implement CLB-OSA/NCLC-AEL website revisions/updates as advised by the coordinator
  • Make recommendations for website improvements
  • Manage inventory of supplies and marketing materials
  • Other duties as assigned

QUALIFICATIONS:


  • Completion of relevant postsecondary education
  • Minimum two years of experience in an administrative capacity
  • Good understanding of challenges faced by prospective immigrants and newcomers to Canada
  • Knowledge of the newcomer settlement and language training sectors
  • Experience with social media marketing tools and platforms is an asset
  • Superior customer service and excellent interpersonal skills
  • Strong oral and written fluency in English is required
  • Fluency in French is an asset
  • Proficient in MS Office (Word, Excel, Publisher, PowerPoint, Outlook, MS Team)
  • Experience with webconferencing tools (Adobe Connect, Zoom, etc.)
  • Excellent organizational and time management skills
  • Ability to take initiative and prioritize work to meet deadlines
  • Adaptable, flexible and able to work independently
