Job Overview:

The Principal HSSE Administrative Assistant will provide administrative support in all capacities needed for the HSSE department.

Annual salary range: 57, ,000


Key Tasks and Responsibilities:


  • Answering telephones, taking messages, routing and preparing incoming and outgoing electronic and/or paper correspondence, performs a variety of research functions and uses computer programs to produce detailed and complex reports, spreadsheets and presentations, types and proofreads documents, correspondence and forms.
  • Carries out varied assigned tasks requiring strong knowledge of protocol and has a firm understanding of the organization, programs and procedures related to the work of the Project.
  • Coordinates and sets up meetings and conferences, arranges travel and works on special projects with mínimal supervision. Maintains schedules of one or more individuals or group of employees HSSE department
  • Sets up and maintains manual and electronic filing systems.
  • Maintain a high knowledge of McDermott proprietary software systems
  • Establish HSSE tracking system for multiple contractors to enable tracking / trending of all incidents, work hours / incident rates, implementation of data spreadsheets KPI's
  • Develops, implements and manages HSSE communication of project daily TBT, Site Bulletins, HSSE Campaign material
  • Take minutes of HSSE meetings and provide actions to individuals
  • Able to carry out trend analysis of HSSE leading / lagging indicators
  • Management of HSSE reward and recognition program
  • Maintains office supplies and other materials required for HSSE activities.
  • Coordinates and processes general administrative work such as time sheets, vacation requests, supply requisitions, etc. Assists HSSE employees with administrative requests.
  • Performs additional assignments as requested.
  • May interface with clients, contractors and joint venture partners at a senior management level.
  • Setting up employees for preaccess testing

Essential Qualifications and Education:


  • Knowledge of MS Office and other related software skills required.
  • Skilled in operating a personal computer, various printers, scanners and other necessary office equipment.
  • Administrative knowledge of business procedures, software, company processes and procedures.
  • Able to work in ambiguity and displays cognitive thinking in actions.
  • Organizational, multitasking, and communication skills.
  • Interpersonal skills and ability to interface comfortably with all levels of internal management and staff as well as clients.
  • Must be able to adhere to all HSSE policies and procedures
  • High school diploma or equivalent. Prefer at least 5+ years of strong, proven experience working in an administrative assistant/HR role
