ABOUT YOUR ROLE
This role is multifaceted and split amongst the following activities:
Communications Review content such as briefing notes, memos, presentations, speaking engagements, press releases, media requests, etc. on behalf of the CEO- Act as a gatekeeper and liaison between the CEO and various stakeholders, managing access to the CEO and facilitating effective communications- Represent the CEO positively in interactions with stakeholders- Proactively manage and recalibrate strategic, internal and Board priorities while using appropriate judgement
Advisory- Act as a thought partner to the CEO- Build and maintain positive and trusting relationships with stakeholders- Keep abreast of the mood in the organization and provide advice to CEO on matters, actions, and potential solutions
Operations- Vetting materials for meetings, presentations, and communications to ensure alignment with CEO standards and expectations- Assist the CEO in managing and prioritizing projects, tracking progress, and ensuring deadlines are met proactively- Provide support to the CEO to ensure effective day-to-day operations
Administrative- Work alongside the CEO's Executive Assistant to Manage the CEO calendar and travel itineraries, organize participation in meetings, external Board seats as well as handling meeting logistics
WHAT WE'RE LOOKING FOR- Agility to adapt to changing logistics in a fast-paced environment with a calm and collected approach- Strategic, critical, and progressive thinking with a proactive approach to problem-solving- Ability to synthesize and summarize large amounts of data and information in a concise and succinct manner- Strong interpersonal skills and listening skills, emotional intelligence, and ability to "read the room"- Strong organizational and project management skills- Exceptional written and verbal communication skills- Ability to handle sensitive information with the utmost confidentiality and discretion- Autonomy, resourceful, curiosity, and proactivity with a willingness to learn
WHAT YOU'LL NEED- Bachelor's degree, or equivalent experience- Proven experience, at least five (5) years, in a chief of staff, project/office manager, or executive assistant role- Advanced knowledge of Teams, Outlook, Word, Concur and PowerPoint and the interest and capacity to adapt to new technologies and tools- Proficiency in English and French (or willingness to learn) *Frequent interactions in English with PSP employees based in our offices in Hong Kong, London and New York, and interactions in French with employees in our local offices in Montreal and Ottawa.
