Description
The role of the Executive Assistant in Quebec is to provide administrative support to the President, CFO and Sr. Leadership team members in Quebec in the planning, management and coordination of administrative tasks. In addition, they will support, up to 20% of their time, the Real Estate department.


Responsibilities:


Executive Assistant support:

  • Plan business travel (reservations, itinerary and documentation);
  • Ensure the rigorous maintenance of the agenda, the organization of meetings and the preparation of documents prior to meetings
  • Ensure the logistics and followup of various executive committee meetings and recurring meetings: send notices of meetings, reminders, track attendance, prepare and transmit necessary files, order food and beverages
  • Prepares letters, memos, presentations and other documents that may contain confidential information
  • Translate some documents and/or presentations (English/French)
  • Design and update various company presentations
  • Participate in the organization of special events
  • Perform any other related tasks

Real Estate department support:

  • Collect and ensure compliance of Certificate of Insurance for vendors and landlords
  • Update the property Insurance file
  • Keep facility files updated and organized
  • Keep rent file up to date
  • Help organize events
  • Update and maintain the filing system

Job requirements:


  • 7 to 10 years of relevant experience with senior management (C-Suite)
  • Fluently bilingual, excellent knowledge of French and English, both written and spoken
  • Excellent grammar, spelling and writing skills
  • Excellent knowledge of MS Office Suite
  • Demonstrate good judgment, initiative, autonomy and discretion
  • Excellent communication and work organization skills
  • Demonstrate professional rigor
