Corporate Executive Assistant - Toronto, Canada - IQ Partners Inc.
Description
Our client, a large international law firm is currently seeking a corporate executive assistant for a remote hybrid position.Responsibilities include but are not limited to:
- Draft articulate and professional correspondence to clients and lawyers, meticulously tracking all electronic communications.
- Edit and draft legal documents with precision, adhering to established formats and standards.
- Coordinate and book meetings, handling logistics such as catering, dietary preferences, and equipment needs.
- Schedule and arrange workrelated and personal travel arrangements using Direct Travel services.
- Facilitate conference calls and meetings, ensuring seamless communication and coordination.
- Collaborate with RICOH to produce coilbound versions of project documents.
- Maintain orderly physical and electronic filing systems for efficient document management.
- Manage, track, and update CPD accreditation required by the Law Society of Ontario.
- Handle administrative duties, including reconciling expenses, accounting, file management, and docketing.
- Create new matter forms and conduct conflict searches.
- Collaborate with Finance to stay informed about outstanding accounts receivable matters.
- Update Legal Professional bios and prepare audit inquiries.
- Keep client contact information uptodate in InterAction.
Education/Experience:
- Possession of an executive assistant/legal assistant diploma or equivalent work experience.
- A minimum of two to five years of experience supporting senior legal professionals in a corporate work environment.

- Ability to work independently and collaboratively, demonstrating initiative and attention to detail.
- Strong communication and interpersonal skills.
- Excellent organizational and time management abilities, effectively handling multiple tasks and projects.
- Confident decisionmaking skills, with a commitment to maintaining confidentiality.
- Proficient proofreading skills, a strong work ethic, and attention to detail.
- Strong technical proficiency.
Salary:
$60,000.00-$72,000.00 per year
