Description

The Program Support Specialist (PSS) provides front line administrative and organizational support to the Dean, Associate Deans (AD's), faculty, faculty administrators, coordinators, and students for programs within the Pilon School of Business.

Reporting to the Associate Dean, Pilon School of Business (PSB), the PSS provides program support and maintains accuracy and currency of Faculty/School programs and student information.

The incumbent maintains the operational flow of programs to ensure organizational and program continuity by responding to changes within programs and program clusters.

The incumbent also conducts research and investigates errors and discrepancies to problem solve and ensure accuracy of faculty programs and student information.

In addition, the PSS provides an informational link with agencies, organizations, and individuals, both internal and external to Sheridan, and plans program activities, Faculty/School projects, events, and outreach activities.

Given the confidential and private nature of the information that the PSS must handle, the incumbent is expected to exercise discretion and adhere to Sheridan's policies (e.g., Privacy), legislation (e.g., Freedom of Information and Protection of Privacy Act), guidelines and practices when handling students' personal and confidential information.

What You'll be Doing

Managing digital and paper documentation for curriculum development/changes and program review/consent renewal (preparing multiple complex documents, obtaining forms and signatures, meeting deadlines, recording motions, and maintaining records) and updating the Sheridan Academic Logistics Systems (SAL);
Compiling, tracking, and processing program documentation such as program maps, detailed program maps, essential employability skills, course outlines, etc.;
Creating/Developing and maintaining Committee procedure manuals;
Organizing faculty meetings with Associate Deans, Program Coordinators, Faculty, and staff members; Preparing agendas and records, transcribing, and distributing meeting notes; Arranging room bookings and set up;
Participating on Program Review teams within the portfolio by providing documentation, coordinating meetings and focus groups, gathering data from faculty, compiling, and preparing the final binder and sending to external reviewers as well as organizing and supporting site visits;
Initiating purchases on College Visa card and enter purchase requisitions using the Finance Information System (FIS) up to authorized limits; Ordering office and instructional supplies through the college's preferred vendor purchasing system;
Performing other related duties as assigned.

You enjoy balancing many different tasks and can prioritize multiple projects while staying organized and maintaining a high level of attention to detail.


You have excellent i nterpersonal, oral, and written communication skills and enjoy working as part of a team in a fast-paced environment.


3-year diploma/degree in Business Administration (or a related field) along with a minimum of 3 years' experience in Customer Service or Office Administration (or an equivalent combination of relevant education and experience).

Skills in research, collection and synthesis of written and verbal data is necessary.

The ability to create accessible documents is an asset.

Advanced level of computer software skills is required (e.g., Microsoft Office, spreadsheets, PeopleSoft Financial, database management, internet research, Outlook).


Experience in program development, approval, implementation, and review in a postsecondary environment will be considered an asset as will experience with PeopleSoft and Sheridan Academic Logistics (SAL).
