The Elizabeth Fry Society of Ottawa is a not-for-profit, feminist organization offering community and residential programs and services to women and men in conflict with the law.

This Multi-Program Program Coordinator role focuses on support to two ongoing programs (one community program - our Volunteer Program), and an internal database program - Share-Vision).

The role also includes providing support to a virtual community program (Bronson Safe Open) to support seniors' social integration - a program that is winding down in Summer This is a full-time hybrid position (mix of on-site and remote work) in a unionized environment with mostly daytime hours and occasional evening/weekend work (to support our Volunteer Program).


The Volunteer Program coordination role includes recruiting, training and, in collaboration with E Fry Ottawa managers, coordinating placement of E Fry Ottawa volunteers at the Ottawa Court House, in the Ottawa-Carleton Detention Centre (OCDC), and in other E Fry Ottawa residential and community programs and services.

The Share-Vision coordination component includes maintaining/updating and supporting staff to use a social services case management program.

Bronson Safe Open is an initiative that facilitates integration of seniors in the Ottawa area with others to reduce social isolation and build community.

Volunteer Program and Internal Case Management Program Support

  • Reports to: Associate Manager of Community Engagement
  • Hours: 30 hours/week some work required on evenings and weekends
  • Language: English Required (bilingual preferred)
  • Salary: $22.15/hour as per collective agreement, plus benefits

Core Responsibilities

Coordinate Volunteer Program

  • Actively recruit, screen and interview all E Fry Ottawa volunteers (including conducting reference checks and managing criminal record checks) and maintain a volunteer roster that meets the agency's needs.
  • Plan and implement orientation and general training to all volunteers
  • Collaborate with E Fry Ottawa program managers on needs for volunteers and to implement programspecific orientation/training
  • Schedule volunteer shifts for different departments
  • Engage and communicate regularly with volunteers
  • Collect, summarize and report on volunteers basic statistics to support program excellence and funder requirements

Maintain and Update ShareVision (internal case management program)

  • Collaborate and work closely with the Associate Manager, Office Administration
  • Complete training provided and actively improve database skills and knowledge
  • Maintain and update database as needed
  • Implement general staff training and collaborate with managers for programtailored training
  • Recommend and make/request system changes to better support the needs of the agency

Temporary Responsibility:
Coordinate Bronson Safe Open (to wrap up in summer, 2023)


  • Coordinate diverse programming held several times a week (almost exclusively virtual programming), with assistance from facilitators and other organizations
  • Serve as the daytoday contact with the facilitators hired to deliver programming
  • Work with the Bronson Rise/Bronson Centre website coordinator to ensure timely posting of calendar of events and easily accessed links (through Eventbrite), and oversee/troubleshoot participant registration
  • Contribute to participant surveys, track and synthesize participation and other data
  • Participate in regular planning meetings with collaborating organizations

Other Responsibilities

  • Promote E Fry Ottawa's programs and services to encourage uptake and participation
  • Attend staff meetings
  • Other duties as requested by the Associate Manager of Community Engagement and/or the Executive Director
  • Promote and deliver on the mission, vision and values of E Fry Ottawa

Qualifications

Required education and experience

  • Experience and/or education equivalent to a postsecondary degree in criminology, social work, human rights, other social service/social justice program and/or computer science
  • Experience managing a volunteer program
  • Experience maintaining a case management database for social services (ideally ShareVision)
  • Experience with the collection of basic statistical data and writing reports

Required knowledge, capacity and commitment

  • Excellent written and oral communication, including report writing
  • Excellent interpersonal skills, including the capacity to engage and support volunteers and clients, and to and deescalate conflict
  • Effective time management skills and ability to work independently
  • Knowledge of ShareVision or similar database/case management software
  • Ability to use Zoom to support activity facilitators and Eventbrite to register BSO participants
  • A sound understanding of local social services and commu
