The Administrative Assistant II exercises judgment and independence in the performance of secretarial activities.


Duties

  • Utilize knowledge of medical terminology and advanced functions to provide word processing/typing services to facilitate the production of moderate and/or complex documents/materials for assigned personnel
  • Perform reception responsibilities; maintaining written and/or electronic calendar/schedule
  • Administer and monitor billing procedures and departmental budgeting records
  • Ensuring efficient operation of the office, within the scope of authority
  • Modify and maintain electronic and paper information filing/retrieval methods, systems and/or formats
  • Provide functional supervision to lower classified clerical position(s)
  • Perform clerical support functions
  • Perform crossfunctional responsibilities, as required
  • Perform other duties consistent with the job classification, as assigned.

Qualifications:


  • Completion of Grade XII or recognized equivalent
  • Completion of a post
- secondary office administration program at the diploma level or equivalent

  • Three (3) years related administrative support experience
  • Previous onthejob computer/wordprocessing, database and spreadsheet software experience ; experience in a Microsoft Office environment preferred
  • Previous supervisory experience preferred
  • Excellent organizational, time management, and prioritization skills
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent knowledge of health care, organizational/office practices, procedures and standards
  • Ability to work independently
  • Ability to work in a team work environment
  • Ability to maintain confidentiality
  • Ability to work well under pressure
  • Ability to use good judgment is assessing difficult situations
  • Ability to produce high quality work in accordance with Hospital standards
  • Ability to work well under pressure

  • Knowledge of medical terminology an asset
  • Experience working in a health care environment an asset
  • Experience working in a teaching hospital environment an asset
  • Previous experience with UHN programs and/or EPIC experience is an asset
  • Vaccines (COVID19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code.
