Clerical Assistant - Accounts:


Primary Purpose:

The Culinary Services Clerical Assistant - Accounts, provides support to the Culinary Services department by coordinating and processing the financial accounting function including accounts payable and accounts receivable.


Nature of Work:

Reporting to the Executive Chef/Manager, Culinary Services the Clerical Assistant - Accounts, is responsible for processing of payments (internally and externally) as well as other processes related to accounts payable.

Maintains vendor records and franchise royalties.

Also responsible to tasks related to Accounts Receivable, including receiving payments as well as processing invoices for internal and external billing including catering and events.


Typical Duties or Accountabilities:
Working under the direction of the Manager, the incumbent will be expected to provide clerical support for several areas within the Culinary Services department, including but not limited to the following:

  • Verifying accuracy of invoices, paying invoices and processing for payment, balance payables with UNIFI
  • Inventory and noninventory payments
  • Cheque requisitions and Journal Vouchers
  • Vendor management and vendor relations
  • Internal and external billing for services and events
  • Compiling monthly financial reports for the various business areas of the unit
  • Catertrax support (customer support, assisting with entering orders, billing, inquiries)
  • Report retail franchise and royalty fees as well SOCAN and Liquor Sales
  • Cash reporting
  • General support to management team and regular internal processes
  • Undertakes special projects as assigned

Education:
Certification or diploma in accounting and administration or an equivalent certification. Combined experience and education will be considered.


Experience: - 3 years' experience working in an accounting role. Payment processing experience is required. Advanced computer skills including experience using the Microsoft Office suite and the ability to learn new software are essential.

Familiarity with FAST and Banner Finance would be considered an asset.

Working knowledge of food and hospitality operations, cost controls and reporting would be considered an asset.

Accounting practices, interpersonal and communication skills, customer services skills, ability to work independently and within a team environment; self-motivator to seek tasks in supporting the leadership group; demonstrates attention to detail; ability to learn new software.

Generally based on the normal hours of the university Monday through Friday 8:30 am to 4:30 pm. May at times require alternate schedule based on business demands.

Salary:
The salary range, based on 1.0 FTE, is $ per hour. The starting salary will be commensurate with education and experience.
