We work in partnership to advocate for the health and housing rights of urban Indigenous Peoples.


Job Purpose


Reporting to the Building and Operations Manager, and working closely with site Coordinators, the Building and Operations Coordinator works directly on-site to ensure the maintenance, repair, cleanliness, and safety of all PAQ building, facilities, materials and equipment.


Duties and Responsibilities

Building Management

  • Conduct regular onsite inspections (at least two per week per site) and prepare reports.
  • Follow up in a timely manner on any items identified during onsite inspections or by management, staff, participants/residents or the cleaners that require maintenance, replacement or repair; provide recommendations to management when equipment and materials need replacement.
  • With the PAQ Handyperson/Runner, carry out small repairs when possible or locate an approved service provider to carry out the work, including purchasing parts and materials.
  • Manage supplies and distribution of keys and/or access cards at all shelters.
  • Ensure all equipment is in good order and functioning at all shelters.
  • Ensure all furniture and other materials are maintained in good conditional at all shelters.
  • Oversee the general upkeep of the interior aesthetics of all buildings (interior and exterior) in terms of painting, decorations (permanent and seasonal), gardens, etc.
  • Carry out/supervise and evaluate all regular maintenance such as landscaping, snow removal, storm systems, lighting, cleaning, painting, plumbing, etc.
  • Document all incident and/or accident reports and forward same to insurance broker, following procedures and when required, followup on any insurance claim processed.
  • Assure after hours emergency response to buildings and sites.

Fire, Health and Safety

  • Ensure cleanliness, orderliness and hygiene standards are respected both inside all buildings, and all outdoor spaces.
  • Coordinate and oversee concierge services at the PAQ shelters; liaise with the 3rd party concierge team to ensure that shelters are clean and tidy at all times.
  • In collaboration with the Building and Operations Manager, ensure compliance with government building regulations and health and safety and environmental standards.
  • In collaboration with the Building and Operations Manager, ensure compliance with fire safety standards, that emergency evacuation plans are current, and that all shelter staff are adequately trained.

Suppliers

  • Establish and maintain a list of managementapproved contractors; occasionally carry out research to update the list to ensure PAQ is using the most costeffective and skilled contractors.
  • Implement and manage service contracts for regular and emergency repairs and maintenance.
  • Obtain competitive pricing quotes for all work and/or services to be performed on buildings and equipment and supervise the completion and the quality of the work.

Inventory and Storage

  • Maintain an inventory and replacement schedule of PAQ shelter furniture, materials and equipment.
  • Ensure shelters have a continuous stock of blankets, sheets, towels, clothing, consumables and other supplies necessary for seamless daily operations; initiate purchasing when necessary.
  • Organize and oversee the safe and efficient storage of all PAQ inventory and consumables.
  • Assist the Building and Operations Manager in various related administrative tasks, as assigned.

Required Knowledge, Skills and Experience

  • Previous relevant experience in at least three of the following six areas:
  • 1. Building maintenance
  • 2. Supply management/Inventory
  • 3. Health and safety
  • 4. Fire safety
  • 5. Supplier relations
  • 6. Security
  • Able to perform minor repairs and basic building maintenance tasks is required.
  • Proven knowledge of Microsoft Suite (Word, Excel) and Google tools (Google Docs, Sheets etc.)
  • Must be fluent in English or French, with a working knowledge of the second language.
  • Ability to write basic reports in French or English.

Required Academic

  • DEC or DEP in a relevant field is required for this role.

  • Capability to lift objects (up to 40lb)
