About the Role:


Under the supervision of the Human Resources Manager, the Human Resources Administrative Assistant will work collaboratively with the Administrative and Leadership teams to support the Agency's training and development activities.

As a key member of the HR team, this role will also provide administrative support to the other Human Resources functions of the department.

Hours of Work: 35/wk, M-Fri

Qualifications:


  • Completion of a College Diploma or University Degree relating to Office Administration
  • Minimum six months of related and progressive experience in health care or social services setting
  • Access to reliable transportation
  • Knowledge of community resources
  • Lived experience related to addictions and/or mental health an asset
  • Security clearance conducted by PWGS Canada will be required

Role Responsilbities:


  • Training and Onboarding Support_
  • Organize and manage new employee orientation, onboarding, and training activities for all new staff including:
  • Launching onboarding information in the HRIS and online training platforms
  • Booking orientation activities with staff and supporting team members
  • Launching corresponding training checklists (e signature documents)
  • Liaising with other departments (Finance/Leadership/Operations) to validate attendance at training and orientation events
  • Organize ongoing staff training using online booking system; Liaise with program mangers and operations to support event bookings and registrations
  • Ensure documentation is complete, filed appropriately and meets Agency compliance standards
  • Manage administrative tasks related to training and development, including launching training feedback forms and training acknowledgement forms
  • Documentation and Administrative Support_
  • Support the Agency's Performance Evaluation (PE) process through PE platform management
  • Prepare and launch Human Resources related documentation through esignature platform, as directed by the Human Resources Manager
  • Create, organize update, and maintain HR related forms, templates, documents, and PowerPoint presentations; Ensure materials follow Agency formatting guidelines
  • Provide administrative support to the Agency's employee policy platform to ensure materials follow Agency formatting guidelines; Support other Administrative team members engaging in this same work, in other program areas
  • Support in periodic file and documentation compliance audits
  • Attend regular Administrative team meetings
  • Provide recruitment support to Human Resources and Clinical Managers for part time and administrative roles including:
  • including booking in person or virtual interviews
  • Other tasks as required to support Human Resources as required
