The Opportunity:


Reporting to the Manager, Ambulatory Surgical Care, the Administrative Assistant II provides high quality administrative and organizational support to the Division of Orthopaedics and two Orthopaedic Surgeons.


Responsibilities include, but are not limited to:

utilizing Outlook to coordinate surgeon's schedules; coordinating and scheduling patient surgeries which includes liaising with families, internal/external departments, hospitals and agencies; collaborating with other Admin colleagues to participate in the Division of Orthopaedic team communications; actively anticipating and troubleshooting problems; coordinating travel arrangements including booking and expense recovery, as requested; attending meetings, taking, producing, and distributing minutes as required; completing correspondence and records for computerized medical billing, and service deliverables; providing academic and research support (i.e., literature search, article retrieval, etc.); participating in ambulatory care team discussions as required, offering input and energy into efforts at improving clinic efficiency and functioning; preparing purchase requisitions, cheque requisitions, and petty cash vouchers; dicta-typing, word processing, and database entry; generating and tracking performance indicators as required; preparing/typing/transcribing reports, project documents, correspondences, etc; photocopying and distributing accordingly; establishing and maintaining office filing system including processing incoming/outgoing mail; answering phone calls, relaying messages and referring calls with follow-up as appropriate.

Your Qualifications:


  • Minimum High School Diploma or G.E.D. required.
  • Graduate from a recognized medical secretarial or medical office administration diploma program required.
  • Minimum six (6) months related administrative experience in a clinical setting required. Two years of experience is preferred.
  • An equivalent combination of education and experience may be considered.
  • Keyboarding skills minimum of 60 wpm required. Testing may be conducted.
  • Advanced working knowledge of Windows, MS Office programs, Outlook, Meditech, online medical searches, Internet searches, and database programs required.
  • Successful completion of a medical terminology course preferred
  • Working knowledge of office equipment (e.g., fax machine, photocopier, scanner, etc) required.
  • Demonstrated commitment to family centred care required.
  • Demonstrated strong time management, analytical, and problemsolving skills required.
  • Demonstrated excellent organization, communication (verbal & written) and interpersonal skills required.
  • Demonstrated ability to prioritize workloads required.
  • Demonstrated initiative; selfmotivated and able to work with mínimal supervision/direction required.
  • Demonstrated high regard for quality, accuracy, and attention to detail required.
  • Demonstrated ability to respectfully work with a variety of interprofessional health care teams required.
  • Commitment to continual learning and willing to share knowledge with, and support the development of, coworkers required.
  • Excellent judgment and discretion in handling confidential and/or sensitive information required.
  • Function effectively in a stressful environment with multiple deadlines and concurrent activities required.
  • Previous dictaphone experience an asset.
  • Competency in other languages an asset;
