Job Posting-
DUTIES AND RESPONSIBILITIES:


  • Manages inquiries, appointments, correspondence, and electronic communication for the Accessibility Advisor, in addition to ensuring proper followup to ensure deadlines are met
  • Provides and maintains consistent administrative support and assistance to the Advisor including drafting, editing, proofing, and formatting of reports and draft correspondence
  • Responds to external inquiries under the direction of the Advisor
  • On behalf of the Advisor, coordinates schedule, formulates agendas, obtains/prepares background material, records, transcribes, and circulates information, follows up on action items, prepares and tracks correspondence for meetings, consultative processes and committees involving both internal staff and external partners
  • Supports the Advisor with the preparation of reports, special projects and confidential work
  • Supports the Advisor with research and produces documents such as letters, reports, financial data, utilizing word processing and financial software
  • Supports the Advisor with preparation of presentations and other information for use at various meetings
  • Maintains consistent administrative procedures for correspondence, filing systems, and council reports
  • Assists the Advisor by performing general office duties as needed such as photocopying, faxing, sorting and directing mail, preparing packages for courier delivery, ordering supplies and processing invoices
  • Performs other administrative duties as assigned, and/or special projects

QUALIFICATIONS

Education and Experience:


  • Grade 1
  • Completion of a Business or Secretarial program
  • Strong writing skills, which will be demonstrated during the interview process
  • Ability to work independently and as part of a team
  • General research experience, such as collecting and reviewing professional documents and summarizing collected materials
  • Excellent communication skills, both oral and written
  • Strong organizational and administrative skills with attention to detail
  • Ability to multitask and maintain focus in a busy environment
  • Advanced computer skills (data entry, Microsoft Office Suite, etc.)

Technical/Job Specific Knowledge and Abilities

  • Knowledge of, or interest in learning about, (dis)Ability and accessibility.
  • Knowledge in graphic design for promotional materials.

WORKING CONDITIONS

Physical Effort
Some light physical activities such as walking, bending, sitting, standing, lifting light weight objects, and intermittent periods of keyboarding. Physical activities require a variety of easy muscle movements.

Physical Environment
The position requires sitting in close proximity to the Accessibility Advisor at all times, including sharing an extended cubicle.

Sensory Attention

Need to concentrate on a variety of sensory inputs for intermediate durations at a time requiring close attention several times daily.

If sensory activities are interrupted, time is required to backtrack to resume activities, involving lost time. The need for detailed or precise work is moderate.

Mental Stress

Pressure or deadlines, quotas or need for accuracy, unpleasant contacts, probable concern about unpleasant situations, repetitious work, and or some disruption of personal life because of work, work schedules or need to travel.

The Workplace Assistant must become exceptionally familiar with the Accessibility Advisor's workplace standards, including the quality and efficiency of task completion and file organization systems, so as to be able to meet the required standards with mínimal or no supervision as required.

WORK STATUS: Temporary full-time, 3-year term

HOURS OF WORK: 8:30 a.m. - 4:30 p.m. Monday to Friday, 35 hours per week. However, work outside these hours is required to engage with the community (i.e. attend meeting, consultations, etc.)

SALARY: Non-Union, NU1 Level, $40,800 to $56,110

WORK LOCATION: Purdy's Landing Suite 301A, Halifax
