Shared Health leads the planning and coordinates the integration of patient-centred clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.


Position Overview:

Reporting to the Administrative Director, the incumbent provides administrative support to the Child Health, Genetics and Oral Health Programs.

Duties include managing the Director's calendar, ensuring that the Director is aware of commitments and providing supporting documents for meetings, taking minutes at meetings, typing minutes and distributing as required; typing a variety of correspondence from rough draft; scrutinizing incoming mail and handling material not requiring the Directors attention; and preparing the payroll for specific departments.

The incumbent also provides analysis of financial and statistical information and participates in implementing administrative changes to procedures within the Program.


Experience:


  • Three to five years related experience required.

Education (Degree/Diploma/Certificate):


  • Complete high school education, Manitoba standards, required.
  • Successful completion of a recognized two year secretarial training program required.
  • A combination of education and experience may be considered.

Qualifications and Skills:


  • Typing 5060 wpm required.
  • Proficiency in the use of Microsoft Office programs, including Word, Excel Access and PowerPoint required.
  • Familiarity with SAP (WRHA timekeeper and cost centre manager) preferred.
  • Additional management or quality courses preferred.
  • Medical terminology (75% pass mark) required.
  • The ability to set up spreadsheets and databases required.
  • Good interpersonal and English communication skills (both oral and written) required.
  • Must be able to function independently and communicate effectively with all levels of staff, government, media and the public.
  • Must be able to function with limited guidance, supervision and monitoring.
  • Must have decisionmaking ability, good judgment and the ability to coordinate work flow and develop effective work processes.

Physical Requirements:


  • Must be able to function well under sustained stress in a fast pace environment with a heavy workload.
