This is a Permanent Full-Time position

PURPOSE OF THE ROLE


Reporting to the Manager, Customer Service and Branch Operations (CS&BO), this position coordinates all aspects of meeting and event services including the Wolf Performance Hall (WPH) on a system wide basis.

This position leads and supervises the members of the Wolf Performance Hall and Space Rental Services Team.

In collaboration with the Manager of Customer Services and Branch Operations, they are accountable for promoting the WPH and rental spaces, building and maintaining relationships with key external partners and for achieving assigned revenue and expense goals.

Ensures that London Public Library (Library) is in compliance with legislation relating to the operation of WPH and meeting spaces.

They demonstrate leadership behaviours consistent with the Library's purpose statement, values and strategic goals.


KEY ACCOUNTABILITIES:
1.
Strategic Leadership

  • Working with the Manager, CS&BO provides leadership for the WPH and systemwide rental of space.
  • Working with the Manager, CS&BO plans, develops and implements a comprehensive operating plan for space rentals and WPH.
  • Works collaboratively with the Manager, Marketing and Communications to develop and implement a plan that will raise the profile of the WPH in the community and support maximizing utilization of and revenue from the WPH and meeting spaces.
  • Working with the Manager, CS&BO and Fund Development to identify potential sponsors and funders of the WPH.
  • Works with the Manager, CS&BO to establish, monitor and achieve service targets and benchmarks.
  • Provides input to the Manager, CS&BO on strategies for service improvement by analyzing usage, external and internal factors etc.
  • Conducts ongoing research, environmental scanning and analysis of current and emerging issues that influence and impact community performance venues and the event industry. Conducts trend analysis.

Client Relationships

  • Explores new and emerging methods of customer engagement and strategies to increase awareness of the WPH and space rentals provided by the Library. Assesses the cultural needs and interests of the London community.
  • Cultivates and builds relationships with key external contacts such as meeting and event planners, performing arts and music personnel etc. that will increase utilization of WPH and space rentals.
  • As assigned by Manager, CS&BO ensures effective Library participation in strategic relationships such as partnerships, standing committees, and task forces.
  • Represents Library at meetings, conferences, events etc., to promote and raise the profile of WPH and to identify and seek new business clients and opportunities.
  • Provides a full range of client supports including provision of estimates, development of scope and format of events, bookings, contract completion, customer satisfaction review and followup, etc.
  • Responds to and resolves customer comments / compliments / complaints; refers comments / complaints to the Manager, CS&BO as necessary.
  • Provides exemplary service to internal and external clients

Finances

  • Working with the Manager, CS&BO plans, develops and executes a comprehensive financial plan, with revenue goals, for the WPH and system wide space rentals.
  • Provides input to Manager, CS&BO and Director, Financial Services regarding systemwide annual revenue and expense budgets.
  • Monitors budget lines, and controls expenditures in order to achieve annual financial goals.
  • Provides input to Management regarding the procurement of related contracted services for WPH and meeting spaces across the system.
  • Oversees staff, ensuring that financial policies, procedures and timelines are followed.
4.
Team Building & Staff Leadership

  • Builds support for the Library's vision and strategic plan by communicating expectations and rationale and by monitoring and measuring progress and outcomes.
  • Oversees the quality and standard of work performed by staff, providing direction, support, training and coaching.
  • Working with the Manager, CS&BO continually looks for opportunities to improve and maximize the efficiency and effectiveness of the WPH and Space Rental Services team.
  • Builds teamwork and team effectiveness; proactively addresses morale, cooperation and productivity issues. Resolves workplace issues, reporting any concerns to the Manager, CS&BO.
  • Conducts annual performance appraisals for direct reports; creates development plans to build core competences and personal effectiveness.
  • Works in collaboration with the Administrator, Training to ensure that employees participate in relevant training opportunities.
  • Performs the duties required of a supervisor under the Occupational Health and
