PRIMARY FUNCTION:


The Data Management Coordinator optimizes the ongoing gathering and accessibility of clinical and financial data for the purpose of identifying and analyzing key performance indicators to help hospital management make better business decisions.

Within this role the Coordinator is accountable for contributing to the delivery of the Kingston General Hospital strategy.

PRINCIPLE RESPONSIBILITIES:

Information Analysis

  • Creates and executes daytoday operational aspects of an automated solution for loading and processing costing information from feeder departments and costing
  • Process on an ongoing basis all monthly/daily and annual feeds from all feeder systems and run processes to update costs, utilization and diagnosis and procedure information to allow case costing and decision support reporting to be current.
  • Create and run recurring standard and adhoc reports
  • Aid in the annual yearend and opening procedures
  • Assist in ongoing reporting and analysis for various stakeholders (both internal and external) such as, but not limited to, KGH Pharmacy, Ambulatory Care Clinics Committee, Ministry of Health and Canadian Institute for Health Information (CIHI).
  • Provide leadership in the ongoing reporting of case costing data for OCCI submission to the Ministry of Health.
  • Assist with corporate reporting requirements for either oneoff projects or ongoing corporate needs for example bed closure scenarios, external funding/costing requests, program or service changes or clinical efficiency monitoring.
Business Intelligence

  • Produce a reporting framework for the monitoring and evaluation of clinical outcomes of the hospital including the development of a coordinated dashboard to provide online access by management to key performance indicators.
  • Participate in evaluating the competencies of current reporting processes and information accessibility with a view to aligning the strategic goals of the hospital and the portfolio.
  • Participate in the refinement of the process for the quarterly performance review reporting mechanism and in particular to improve its timeliness and accessibility.
  • Maintain dashboards and analytical cubes to facilitate monitoring and reporting.
  • Provide assistance in the development of tools to measure and manage key performance indicators. A methodology or a procedure to determine the best (or acceptable) way of measuring the required metrics should be developed. What methods to be used, and how frequently will the data be collected as well as the standard accepted for the accuracy, reliability, and validity of the data must be determined. Additionally for each information (or report) monitored, identify what metrics need to be used for each piece of information.
Creation of Monitoring Process for Key Performance Indicators

  • Participate in the development of a utilization management process to look at the Clinical and Financial Outcomes of our activities. This process will require an analytical toolkit to facilitate the monitoring and evaluation of our operations on a regular basis to evaluate the incremental changes made and their effect upon our costeffectiveness and efficiency.
Database Maintenance & Software Development

  • Participate in reconciliation processes to ensure data integrity between systems.
  • Work with support department to ensure validity and maintenance of accessible backups of the system
  • Maintain processes to add/delete and maintain data fields for data tables.
  • Add new fields as required and ensure compatibility with fields already within the data warehouse
  • Provide remote access processes for department staff as required
  • Create and maintain documentation on data processing and data fields
  • Creation of Sharepoint websites for the purpose of data sharing and dissemination across the organization
  • Conceptualize, create, and modify databases as required.

QUALIFICATIONS:


  • University Degree in Computer Science or Equivalent combination of education and hospital systems experience.
  • Two years data management experience in healthcare environment.
  • Knowledge of project management methodologies
  • Proven skills on business intelligence analytical tools
  • Strong verbal and written communication, facilitation/
