About the Role


We are looking for a full-time, permanent Business Development and Events Coordinator to join either our Vancouver or Calgary office.


Your primary responsibilities would be to ensure all aspects of our firm events are well organized, planned, and carried out.

There will be many opportunities to lead key projects and initiatives, including advising on event and seminar creation and the best approach to achieve desired results.


Overview of Responsibilities

  • Coordinate all aspects of firm events and seminars, from start to finish, including:
  • Kick off meetings with key stakeholders to determine event goals, concept and budget.
Ensure clear and consistent communication is maintained with relevant parties throughout the event planning process, including:
event venue/concept approval, review and creation of marketing lists, RSVP updates and outreach to maximize attendance, coordination and preparation of event/seminar materials

  • Work with other firm departments including Office Services, IT and Reception to ensure seamless delivery of events
  • Develop an event critical path to ensure effective timelines are developed and deadlines are met
  • Scout and coordinate with venues and vendors. Maintain lists of preferred/recommended venues and vendors, and manage relationships with those organizations.
  • Create and manage marketing lists through the firm's CRM system (i.e. Interaction).
  • Manage external and internal event promotion, including: event invite creation and RSVP management using an event marketing platform (i.e. Vuture), manage content for events pages on firm website and Intranet, work with Digital Marketing Coordinator on social media promotion (when appropriate)
  • Provide creative ideas, décor and other deliverables or special requests
  • Create and distribute seminar feedback forms or surveys, including collecting and analyzing results and presenting them in postevent reports.
  • Coordinate onsite logistics, including:
  • Venue and registration set up;
  • Coordinating volunteers for event, if and when needed;
  • Registration table management;
  • Attendance at event as point of contact ensuring event/seminar is going as planned; and
  • Closing (and take down) of event/seminar.
  • Track and maintain total list of events and seminars, including ROI
  • Coordinate Rogers Arena Suite allocations and bookings
  • Other duties as required.

Qualifications
Education

  • Postsecondary school diploma and/or degree, preferably in business or marketing or a related discipline. Specific training in events management/coordination is an asset.
Skills/Abilities

  • 35 years of proven work experience in an event coordinator or assistant role. Experience in a professional services environment is an asset
  • Strong experience with a CRM system (such as InterAction)
  • Advanced knowledge of MS Office Suite including: Outlook, Word, PowerPoint and Excel
  • Clientservice oriented
  • Ability to prioritize, multitask, meet deadlines, and coordinate own work
  • Outgoing, personable and professional with the ability to excel in a deadlinedriven and fastpaced environment
  • Excellent oral and written communication skills
  • Ability to maintain confidentiality
  • Eager to learn new things and is goaloriented
  • A natural leader who is adaptable and solutionoriented with an eye for continuous improvement
  • A team player who can work well in a collaborative environment
  • Willingness to work evenings and weekends occasionally (paid overtime)
