Job Description Summary
Organizational Status
The Graduate Programs Officer reports to the Manager, Student Services and receives direction from the Associate Director, Graduate Programs and the MHLP Program Director.
The incumbent is also a key liaison with the Faculty of Graduate and Postdoctoral Studies Student Academic Services Unit, the Faculty of Applied Science MEL/MHLP Office, and other university and government agencies.
Work PerformedRecruitment
- In consultation with the Graduate Programs Leadership team (AD, Program Directors, and Coordinators) develops a recruitment strategy for each program & with targets & implementation strategy.
- For the School of Nursing oversees student recruitment events for graduate and professional programs, and develops recruitment materials (print, web and digital signage) for student recruitment initatives.
- Ensures that annual recruitment targets for students are met based on direction set by the Graduate Programs Leadership Team, and in conjuction with the School s mission and strategic plan.
- Represents the faculty at career fairs and other recruitment events
- Liaises with the Faculty of Graduate Studies, and other UBC departments out of the School on all aspects of admissions and recruitment.
- Advises and provides clear, professional, and accurate consultation to prospective and current students on wide variety of issues including: university admission and academic policies and requirements, university student services, program procedures, academic schedules, and professional academic development activities.
- Advises applicants about courses required before entering, prerequisites, courses that are required during their Program and courses available either within the Program or outside the Program.
- In collaboration with the Graduate Program Coordinators and Professional Program Directors develops strategies for connecting prospective and new graduate, professional program, and visiting international research graduate students with facultyadvisors and potential supervisors.
- In consultation with the Graduate Programs Leadership and Professional Programs Leadership, plans and develops and implements a comprehensive orientation program for new graduate students.
- Develops graduate programs orientation manuals for students.
- Provides guidance to graduate student clubs and organizations on engagement with the School of Nursing.
- Prepares Graduate Program reports, statistics, and produces other internal and external reports as needed.
- Provides status updates and advice to the Associate Director, Graduate Programs on a wide variety of recruitment and admissions issues.
- Ensures compliance with UBC policies.
- Works closely with all faculty in leadership roles for graduate and professional programs to identify and resolve recruitment or admissions issues.
- Develops, implements and updates program policies and procedures.
- Oversees revisions to admissions requirements in the Graduate Programs Section of the UBC Academic Calendar.
- Updates the School of Nursing website re: recruitment and admissions information for Graduate and Professional Programs.
- Organizes Graduate Student research events such as poster competitions, research presentations, and other
- Makes recommendations and implements improved processes to enhance efficiency of admissions operations.

- Represents the School in committee meetings on behalf of the Graduate and professional program leadership
- Trains and manages work study students and volunteers.
- Serves as the designated backup to the Manager, Student Services.
- Performs other duties as required in the daytoday operations of Student Services.
