The Opportunity:


Reporting to the Managers of Rehabilitation Services, Children's Health Program, the Administrative Assistant will provide high-quality office administrative and organizational support to multidisciplinary Rehabilitation care teams.

The Administrative Assistant responsibilities include but are not limited to:


  • Provides administrative support to the Rehabilitation care teams, clinics, committees, and programs.
  • Attends committee meetings, supports the development of agendas, supports minutes, and identifies action items as needed.
  • Maintains team communication, supports Rehabilitation outreach program, Rehabilitation services newsletter, and patient and family information in both print and waiting room screens as needed.
  • Types/transcribes summary letters and correspondence, photocopies and distributes accordingly.
  • Provide support in generating slides, posters, and PowerPoint presentations.
  • Maintains office filing system, forms, and records to ensure efficient storage and retrieval of material, and supports incoming/outgoing mail.
  • Provides coverage to other admins within the work area which may include booking and registrations.
  • Supports inventory of supplies and places orders as required.
  • Is effective, respectful, and collaborative in all interactions with families, and team members, and supports Family Centered Care
  • Manages patient waitlists and booking of clinical care appointments for various teams.
  • Books and coordinates events and meetings for teams as needed, including room bookings & equipment as needed.
  • Other related duties as assigned.

Your Qualifications:


  • High School Diploma or GED required.
  • Graduate from a recognized Secretarial or Office Administration Diploma Program required, medical office administrative diploma preferred.
  • Minimum six (6) months related administrative/secretarial experience in a health care environment required, three (3) years preferred.
  • Advanced working knowledge of computers including Windows, and Microsoft Office (testing may be required)
  • Resourceful and analytical with the ability to use good judgment and make decisions.
  • The ability to maintain confidentiality is essential.
  • Experience in research administration preferred.
  • Experience preparing presentations and reports is an asset.
  • Demonstrated knowledge and experience with appropriate medical terminology required
  • Keyboarding skills of 60 wpm required.
  • Experience inputting database information required.
  • Experience with MEDITECH, Microsoft Outlook, and the Internet required.
  • Demonstrated excellent organizational, interpersonal, teamwork, and communication (verbal and written) skills required.
  • Demonstrated initiative is selfmotivated and able to work independently with mínimal supervision required.
  • High regard for quality and proven attention to detail, as well as flexibility to meet workload demands and deadlines required.
  • Proven time management, organizational, and problemsolving skills required.
  • Competency in other languages is an asset.
