Join the Office of the Controller at the City of Toronto as a Project Coordinator to support various divisional initiatives and provide coordination to Financial Systems Transformation Program.


The Financial Systems Transformation Program is a multi-year financial transformation initiative, enabled by modern technologies that will meet current and future business needs.

This includes standardizing finance processes, modernizing our finance service operating model, and streamlining the underlying financial platform to ensure consistent access to timely financial information in an efficient and effective system.

In this full-time role you will perform the following major responsibilities:

  • Communicating/coordinating between Technical and Business teams engaged on the project and providing seamless effective information as required
  • Coordinate project schedules and support any tracking & risk assessment of project timelines as directed by the Project Management leadership
  • Compile project status and other relevant reports to provide insights and information to leadership
  • Coordinate with various team members and stakeholders on issue management and resolutions and maintain documentation as directed by Project Management leadership
  • Identifying opportunities to foster crosscollaboration amongst both City and vendor teams by setting up touch points, meetings and workshops as required
  • Coordinate project activities including building and testing of solutions to ensure a smooth transition into production and handoff to support teams.
  • Coordinate and support the work of divisional and corporate initiatives related to the division.
  • Liaising with divisional budget, accounting and administrative staff, provide input into and administers assigned budget, ensuring that expenditures are controlled and maintained within approved budget limitations.
  • Assist in the roll out of change management initiatives to support divisional transformation. Prepare regular reports with trend analysis to Divisional Management Team on such issues as Customer Service measures, Information Management.
  • Make recommendations to divisional management to support management functions and improve efficiency and effectiveness of service delivery in regards to service optimization and business process simplifications that could result in alternate service delivery, changes in staffing levels, restructuring, and resource allocation.
  • Recommend and implement security practices, privacy and quality assurance requirements consistent with MFIPPA and corporate standards regarding storage and processing of records.
  • Act as a liaison between the division and other divisions across the City, with respect to divisional and operational issues in order to establish, maintain and develop linkages to other divisions, agencies and boards to ensure effective partnerships within the corporation.
  • Organize staff retreats, divisional team meetings, events and various communication material as required.

Key Qualifications:


  • Postsecondary education in information technology or public administration (or other discipline pertinent to the job function), combined with the demonstrated experience in a large organization. PMP, CSM, CPSO would be an asset.
  • Experience coordinating, supporting and facilitating small and large scale divisional projects in a deadline driven, ideally, financial.
  • Experience with vendor and contract management an asset.
  • Experience preparing reports and research documentation.
  • Experience conducting research, data analysis, and summarize findings.
  • Excellent communication, presentation and interpersonal skills, and the ability to work cooperatively with others in an interdisciplinary team and across functions and divisions.
  • Experience using a variety of software packages including MS Office (e.g., Word, Excel, Power Point and Access), process design software (e.g. Visio, ), business requirements management and quality assurance tools (e.g., Blueprint, HP QC) and project management software (e.g., MS Project).
  • Excellent project management and organizational skills
