Requirements of the role for HR and Admin Manager.

  • Liaise with staff on various HR issues, including policies, procedures, etc.
  • Recruitment: Postings, screening resumes, phone screening interviews, regrets, scheduling interviews, participating in interviews as required, reference checking.
  • Administer the annual staff performance reviews.
  • Scheduling; process timeoff requests and coordinate assistance for lawyers when staff are absent or when overflow is required (weekly and daily staffing)
  • Maintain HRIS ensuring data integrity.
  • Floater Legal Assistant supervision
  • Coordination of New Hire administration, onboarding and offboarding
  • Participate in yearend budget procedures (create spreadsheets, gather and input data)
  • Participate in termination processes as required.
  • Coordinate yearly HR events (Flu Vaccinations, Staff Appreciation Week, Take Your Kids to Work Day, Annual Year End Party, etc.)
  • Research and assist with various projects, including soft skills seminars, benefit surveys, and lunch and learns
  • Active participation in Occupational Health and Safety and Emergency Response Committees
  • Research and event planning
The Junior Human Resources Assistant would also be utilized by the Legal Talent Department in Calgary to provide administrative assistance in following areas:

  • Post positions and maintain recruitment records
  • Coordinate administrative requirements of student recruitment weeks
  • Coordinate and facilitate onboarding for students and associates
  • Prepare orientation agenda, manual, guest speakers, and systems training
  • Plan and coordinate social programs and events for students and associates
  • Organize professional development programming for students and associates
  • Coordinate administrative requirements of associate mentorship program, including organizing of annual mentorship achievement awards and celebration
  • Track student and associate reviews using viDesktop
  • Follow up on outstanding feedback
  • Coordinate administrative requirements of student and associate review schedules for all practice groups
  • Coordinate administrative requirements of offboarding processes
  • Maintain and update associate and student records

Qualifications:


  • A Post-Secondary Education and/or completion of HR Certificate or Diploma program
  • Minimum 2+ years' working experience in HR Administration.
  • Experience within a professional services firm is an asset
  • Working towards CPHR
  • Familiarity with payroll software is an asset
  • Knowledge and experience with HRIS systems is an asset
  • Proficient in Microsoft Office Applications
  • Excellent communication, organization and presentation skills
  • Proven ability to establish and maintain effective working relationships with all levels of the firm
  • Effective interpersonal skills
  • Able to act tactfully and with discretion when dealing with confidential matters
  • Able to maintain a positive and professional attitude and disposition
  • Proven ability to prioritize and manage competing demands with a high level of attention to detail and accountability
