JOB SUMMARY UNDER THE GENERAL SUPERVISION OF THE DEAN OF SCIENCE & SOCIAL SCIENCE, AND UNDER THE DIRECT SUPERVISION OF THE MANAGER OF ACADEMIC SUPPORT, PROVIDES ADMINISTRATIVE SUPPORT TO THE PROGRAM DEANS


DUTIES AND RESPONSIBILITIES

  • Provide administrative support for the Program Deans, as assigned by the Manager of Academic Support ex. Organize meetings, prepare agendas, convene participants, attend meetings and prepare draft minutes for various committees chaired by the Program Deans
  • Provide administrative support for academic program needs, as assigned by the Manager of Academic Support ex. Update program documents, organize meetings, convene participants, attend Program Committee meetings, prepare agendas and draft minutes, etc.
  • Assist Program Deans/Programs in the organization of academic events.
  • Maintain and update files in accordance with established procedures for Deans and assigned departments and programs, ex. Electronic and physical archiving, manage committee and program specific portal communities, etc.
  • Provide clerical support for Program Assessments and other research related initiatives as assigned by Deans. Tasks may include seeking out and collecting information, formatting reports, etc.
  • Support the evaluation of teaching through the administering of surveys.
  • Assist the Registrar's Office with exam invigilation, as required.
  • Provide support for other activities in the academic sector, as assigned by the Manager of Academic Support.
  • Perform other related tasks as may be assigned.

QUALIFICATIONS:


Education

Secondary school diploma (DES) or a diploma of vocational studies (DEP) in an appropriate specialty or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.


Specific Requirements:


  • 1year relevant experience.
  • Intermediate English oral, written comprehension and written
  • Basic French oral, written comprehension and written
  • Maintain confidentiality and discretion in dealing with sensitive issues.
  • Strong ability in using MS Word, Excel, PowerPoint and Outlook.
  • Knowledge of Omnivox and Clara an asset.
  • Ability to edit webpages using the WordPress web platform an asset.
  • Related experience in the CEGEP system an asset.
  • Ability to work independently.
  • Ability to multitask.
  • Ability to work with a team.
  • Ability to deal pleasantly and efficiently with people.

Testing may be required to demonstrate knowledge of:

  • Word (Intermediate)
  • Excel (Basic)
  • PowerPoint (Basic)
  • French (Basic oral, written comprehension and written)
  • English (Intermediate oral, written comprehension and written)
