***Located at our Downtown Barrie campus and reporting to the Site Administrator, the incumbent provides front line reception/customer service at the downtown campus location during the evening hours. The incumbent supports operational needs, such as placing work orders, assisting students with requests for information, collaborating with Campus Security to ensure a safe campus and work environment, and provides back up support and assistance with program and committee meetings where required.

Specific duties include, but are not limited to:

Reception and Information Services

  • Responds to inquiries, provides campus and program information, schedules appointments, and makes referrals and triages questions and/or concerns or complex situations to the appropriate resources and college departments
  • Provides support and guidance to students regarding college programs, procedures and campus amenities
  • Refers students to appropriate College resources for additional assistance and supports as/where required
  • Works with Security to support campus safety processes. Notifies campus safety immediately in circumstances that require action/support to ensure campus safety
  • Verifies guest entry. Ensures only students, staff and faculty are on campus without further verification
  • In collaboration with Security, ensures campus is locked following evening classes and that the building is empty and secure
  • Reissues access card where required that are approved by management

Clerical Support

  • Completes filing, photocopying and scanning of documents
  • Monitors inventory and orders office supplies as required
  • Organizes virtual meetings using MS Teams and or other virtual meeting platforms for program committees and meetings as required
  • Prepares and follows up on work orders for down town campus maintenance
  • Posts notices on behalf of faculty for students regarding any class cancellations, room changes, etc.
  • Follows up with Information Technology on classroom technical issues and ensures any malfunctions are addressed and rectified
  • Maintains and/or schedules maintenance for repair/service on general office equipment; printers, computers and others as required. May require to refill paper in printer and or troubleshoot
  • Assists with planning and logistics of special events (e.g. invitations, catering, RSVP's, etc.)

Events include but are not limited to:
Orientation, Grad Show, Four Themes Show, etc.


QUALIFICATIONS:


  • Successfully completed a oneyear postsecondary certificate in a relevant study that may include, but is not limited to, Business or Office Administration
  • One year of experience in a reception role within an office environment.
  • Knowledge of Microsoft Office Suite (Word, Excel, Outlook, MS Teams etc)
  • Experience working in a fast pace environment with multiple shifting priorities that may need immediate attention.
  • Ability to work independently and in a team environment
  • Experience in a postsecondary environment would be considered an asset
  • Knowledge of Student Information Systems would be considered an asset
  • Excellent interpersonal and communication skills
  • Research skills (web) and software skills
  • Ability to work independently and part of a team
  • Quick Problem solving and organizational skills
  • Multitasking and prioritization skills, experience in a fastpace learning environment with multiple priorities
  • Must be available to provide on site coverage for vacation (i.e. front desk) occasionally
