Purpose:


The Academic Services Coordinator role is responsible for contributing to student success and retention in the Lassonde School of Engineering by providing effective organization, coordination and administration of student academic petitions and appeals processes.

In addition, the role will serve students by providing general student advising and support.

The role will also provide administrative support for Student Welcome and Support Centre unit teams during various peak periods within the student life cycle.

The role provides a high level of confidential, administrative and research support to the petitions process. The role advises students and staff on issues related to academic petitions and appeals and general student advising.

The role acts as the primary resource support person to the Faculty Petitions & Appeals Sub-Committee including organizing meetings and facilitating petition panel hearings.

The role accurately interprets policies, procedures, and regulations with respect to individual student records for degree-types and in the context of individual petitions, and appeal circumstances.

The role provides guidance and advice to the academic advising team related to the petitions process to best support students in reaching their goals.

The Academic Services Coordinator role supports the vision, purpose, values and strategic direction of the Lassonde School of Engineering and York University, and contributes to a positive, supportive student-focused team environment of high performance, respect, trust, collaboration, and continuous improvement, embracing diversity and fostering inclusion.


Education:


Three (3) year Diploma in a related field such as legal/public administration, business, social work, liberal arts, or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks.

This education equivalency is in addition to the experiential requirements outlined below.


Experience:

Three (3) years of experience, including: coordinating administrative processes, committee support, minute-taking. writing original material/communicating decisions in writing. interpreting documents and policy related to academic programs. assessing student academic records, in a student services area. Experience in post-secondary student judicial affairs or petitions, appeals or academic misconduct procedures and processes.


Skills:

Knowledge of academic programs, degree requirements and academic legislation.

Demonstrated skills in the following areas:
Effective oral communication skills to elicit, interpret and summarize and relay information in a clear and concise manner.
Good written communication skills, including ability to draft original communications.
Public speaking and presentation skills.
Excellent interpersonal skills including tact, diplomacy, and discretion.
Ability to exercise sound judgment in evaluating individual situations and solving problems.
Effective attention to detail (including accuracy for recording decisions, drafting rationales, verifying information and data entry).
Ability to work independently in an environment of competing priorities and constant interruption.
Exercising initiative and working as an effective member of a team to achieve and support unit goals.
Solid decision-making skills.
Time management and organizational skills to simultaneously handle conflicting priorities, multi-task and meet deadlines.
Ability to maintain confidentiality.
Ability to deal courteously and effectively with difficult and sensitive situations.
Minute taking and word processing skills required. Intermediate proficiency using MS Word and PowerPoint, Excel (basic). and E-mail software (MS Outlook).
Demonstrated experience working with the on-line student records system (SIS or equivalent student records system/database).

This position will be hybrid: 2 days remote
