We are currently hiring for the position of:

INDUSTRY GUEST COORDINATOR, PROGRAMME & GUEST SERVICES


The Industry Guest Coordinator is responsible for providing guest experience and guest logistics support for guests that are invited to participate in TIFF's Industry programming initiatives.

This position will develop and maintain positive and productive working relationships with these Industry guests to ensure an exceptional guest and festival experience.


Key responsibilities include:

acting as a key liaison for external stakeholders, supporting the Industry Programming team with drafting and sending official guest invitations, and arranging travel and accommodations logistics for invited guests.

This position will also provide on-site support and assistance to guests at various events such as the Industry Conference, Filmmaker Lab and other Industry talent development initiatives.

Overall, this position works closely with relevant teams to ensure exceptional administrative and operational support for internal and external stakeholders.


RESPONSIBILITIES:


  • Shall include but not be limited to:_
  • Develop and maintain positive and productive relationships with Industry guests and related stakeholders
  • Act as primary Industry guest contact while also serving as a primary liaison between the guest and the Industry Programming team
  • Track the Industry guest invitation list and collection of materials ensuring that tracking documents are always up to date in order to be referenced by the Industry teams
  • Support the programming team with drafting and sending official invitations/agreements for Industry programming guests
  • Initiate and establish communications with Industry guests
  • Collect accurate information and required publicity materials to be used in TIFF's printed and online/digital publications and platforms (i.e. bios, headshots, etc.)
  • Assist in auditing of official Festival publications including press releases, printed/online collateral and all film webpages
  • Coordinate hospitality offerings including Industry guest travel and accommodation logistics
  • Confirm guest attendance at official TIFF events
  • Assist in the coordination of guest participation at events, press opportunities and other programming activities
  • Provide onsite hosting and assistance to Industry guests during the Festival as required
  • Provide exceptional service to ensure a positive experience from invitation through to the end of the Festival
  • Organize accreditation and related benefits for guests
  • Build detailed guest itineraries as required
  • Maintain confidentiality of guest information and integrity of programming
  • Provide consistent and accurate reporting to the guest and to internal TIFF departments when required
  • Provide a detailed Festival post mortem report
  • Other coordination tasks and duties as assigned
    RATE OF PAY:
  • $ 23.00/Hourly

    MINIMUM REQUIREMENTS:
  • Minimum 2 years experience in arts and culture administration-
  • Understanding of Canadian and international film industries an asset-
  • Experience working for a film festival or large scale event an asset-
  • Experience with guest logistics or talent management an asset-
  • Experience booking hospitality arrangements for individuals or groups an asset-
  • Strong, effective and professional communicator and strong interpersonal skills-
  • Excellent phone manner and written communication skills, as well as a knack for relationship building-
  • Enthusiastic, self-motivated, and open to working in a team environment-
  • Strong organizational and administrative skills with extreme attention to detail, diligent record-keeping and the ability to effectively prioritize tasks-
  • Experience collecting detailed information from stakeholders or clients, and disseminating it to others in order to execute on the instructions-
  • Strong computer and data management skills, including databases, CRMs, project management tools
