This is a full-time support staff Bargaining Unit position reporting to the Senior Dean, International Education & School of Information Technology working 35 hours per week at an hourly rate of $36.19.

This position will require working on-site full time at the Lambton Ottawa Center for Graduate Studies through the week.

This newly established satellite campus will service international students in graduate certificate programs at Lambton Ottawa located on the Saint Paul University campus.


Specific Accountabilities:


  • Academic Planning/Operational
  • Responsible for planning, staffing, and resourcing all academic programs and courses delivered at the Ottawa Campus.
  • Prepare a schedule plan for all Communications courses in the college for three academic terms
  • Provide input for the creation, maintenance and updating of timetables for the Campus, utilizing knowledge of program/course delivery enrollment data.
  • Provides to the Registrar's Office information and requirements for program delivery and jointly resolves any problems that arise.
  • Create, modify, and store all program and department documentation for the Campus (i.e. program maps, curriculum change, program builds, program approvals, and faculty/staff HR files).
Faculty Recruitment- Assist with the recruitment of faculty and support staff, their onboarding, and providing ongoing support

  • Prepare all hiring forms, including faculty classification for OTRFT staff
  • Assists faculty with any issues arising with Human Resources and the HRIS system
Student Services- Service the academic needs of international students during peak times.

This may include course registrations, graduation audits, withdrawals, transfer credits, course substitutions, degree pathway assistance and other academic counselling requirements brought forward by the Director or specific students.


  • Investigate fees owed by international students and the necessary follow up to ensure these debts are paid.
  • Direct new and returning student's registration process for international students to ensure they have a smooth experience.
  • Monitor student services requests via the JIRA system
  • Ensure all processes are completed and accurate information is submitted in the required format by the dates indicated on the dates and deadlines documents
  • Provides additional assistant to the Campus Director or Registration Office as required

Qualifications:


  • At minimum a 3 year University degree in arts, business or computer studies is required
  • At minimum 3 years experience in a midlevel administrative office environment is required
  • Advanced ability to use MS Office programs (Word, Excel, PowerPoint, Teams)
  • Familiarity with organizational and information management systems (i.e. Ellucian, JIRA, HRIS)
  • Experience working with collective agreements is an asset
  • Certificate in Education and or Training & Development is an asset
  • RSIA Designation is an asset
  • Previous experience working with international students is an asset
