Job Summary:

Supplier Contract Administrator (SCA) is responsible for supplier data integrity in JDE and for supplier document compliance. SCA is responsible for setting up and updating records for all active vendors and subcontractors across North America. SCA is the central contact point and is responsible for communicating any supplier status changes to key stakeholders.


Key Responsibilities

  • Set up supplier records in JDE following the standard processes.
  • Update supplier records as required (address, payment terms, tax, category, status, etc.)
  • Review submitted Subcontractor Data Forms and quotes for completeness and consistency of information. Identify omissions and actions required.
  • Execute Standard Construction Document CCA1, Ainsworth standard contracts, edit, type, proofread and seal contracts.
  • Manage company P-Card program.
  • Identify the proper signing authority and forward all documents for review and signatures.
  • Proactively follow up on insurance and other compliance documentation
  • Maintain hard copies or scanned copies of supplier files in one central location, servicing all business units across Canada
  • Maintain Supplier Management Database records, document, and track outstanding contracts.
  • Consult with WSIB/WCB to clarify issues regarding independent operators, outofprovince subcontractors, and other questions as they arise
  • Report weekly on noncompliant vendors and ensure JDE reflects the noncompliance status
  • Provide vendor setup and compliance training as needed.
  • Set up EFT in to JDE
  • Run and distribute quarterly reports on supplier optimization opportunities.
  • Troubleshoot and resolve minor contract deviations.
  • Adhere to all company policies and procedures.
  • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety, and Environmental company policies and government legislation/regulations.
  • Adhere to the Company's Quality System operating procedures.
  • Perform other duties as assigned by Management.

Qualification

  • 2 to 4 years of relevant experience in a related environment.
  • College diploma (Business or Purchasing certificate is an asset).
  • Strong computer skills (Word, Excel, JDE One World, etc.)
  • Proven ability to communicate effectively with diverse internal and external individuals.
  • Proven systematic and organized approach to multitasking.
  • Demonstrates ability to work independently to complete assigned tasks with minimum supervision. Strong knowledge of the English language both written and oral.
  • Demonstrated ability to meet deadlines and prioritize a heavy workload.
  • Professional, friendly, strong interpersonal skills.
