Administrative/Human Resources Assistant - Autism Services


Hours of Work:
Full Time, Monday-Friday; 35 hours/week


Pay Range:
$ $23.00/hour (pending experience and education)


Summary:

A key player on the On Solid Ground, Inc.

Team, The Administrative/Human Resources Assistant is responsible for providing administrative supports to the Clinical Leadership and Office team in recruitment, onboarding, off-boarding, scheduling clerical and clinical administrative duties that contribute to the overall clinic operations and a supportive, collaborative and engaging work environment.


Role and Responsibilities (include, but are not limited to):

  • Maintain up to date human resource files and documentation; ensures ongoing maintenance and upkeep of employee records in a manner that is compliant with legal and organizational requirements
  • Assist in recruitment processes in collaboration with the Clinic Coordinator and Clinical Leadership team
  • Assist in the onboarding process, assisting in all stages of fullcycle recruitment, including maintaining accurate records and supporting onboarding, offboarding, compensation, benefit programs, job evaluations, performance management programs, employee development, training processes, human resource planning and budgeting]
  • Maintain appropriate documentation to identify and address employee needs and concerns in a professional and timely manner
  • Assist with scheduling and team allocation
  • Initiate and/or participates in the design, analyses and development of Human Resource systems, programs, processes reports and projects necessary to meet the changing business needs (e.g., time off requests, sick days, vacation etc.)
  • Coordinate with the clinical leadership team regarding performance appraisals for clinical staff
  • Coordinate team building events for staff professional development & celebrations
  • Assist in preparing client/staff schedules and room/space allocations
  • Build/Create Program binders, baseline binders, and clipboards as new clients are onboarded
  • Assist with coverage for clients at arrival and departure time, lunches and washroom breaks
  • Assist the Director, Clinic Coordinator, and Clinical Leadership Team in the implementation of new system reporting enhancements/functionality including analyzing alternatives, evaluating designs, integration testing and documentation. Ensures system and data integrity
  • Participate in staff team meetings
  • Lead and participates in Joint Health and Safety Committee meetings
  • Participate in learning and development opportunities
  • Follow OSG policies and procedures
  • Be coachable Recognize that feedback is ongoing and is designed to enhance your skills
  • Participate in other duties/activities that may be assigned

Skills/Qualifications Requirements:

  • Fluent ability to work in Microsoft Word, Excel, Google Drive and practice management software
  • A Community college diploma or a university degree in a related field (e.g., Human Resources Diploma, Social Service Worker, Associates Degree in Business or equivalent from an accredited business program or Community College. CHRP designation is an asset.
  • 12 years working in an office setting or Human Resources field
  • Recent Vulnerable Sector Check (within 6 months of start date)
  • Medically fit to work
  • Must be legally able to work in Canada
