The Department of Historical and Cultural Studies at the University of Toronto Scarborough is a vibrant department organized into distinct disciplinary and interdisciplinary areas of study.

Working alongside faculty, a team of dedicated staff members provide administrative services and support the daily operation of a department that is committed to promoting equity, diversity and inclusion to help create a truly rich and engaging student experience.


Your opportunity:


Reporting to the Business Officer and working under the direction of the Chair or designate, the incumbent will provide comprehensive administrative support in the program and curriculum development process to enhance delivery of undergraduate programs and courses; manage the annual timetabling process and updating curriculum and calendar changes; advise students on program and course requirements and related academic policies; support the planning and implementation of student recruitment initiatives to increase enrolment and student retention in programs; collaborate with various offices on campus (Office of the Registrar, Admissions and Student Recruitment, Communications & Public Affairs, Academic Advising and Career Centre, Co-op Office) and external parties/organizations to further the Department's linkages and success in promoting its programs, co-curricular activities and students' learning experiences; oversee the development and maintenance of departmental web content and communication materials; and administer thestipends teaching budget of the Department.


Your responsibilities will include:


  • Supporting course and curriculum planning by assisting faculty in preparing new/revised course/program proposals and shepherding them through the governance cycle.
  • Monitoring and analyzing course enrolment and waitlisted numbers to identify the need for additional lectures and/or opportunities for optimized sequencing/timing/course requirements.
  • Preparing and disseminating course timetables.
  • Producing promotional and outreach materials, including event posters, as well as content for the departmental website, digital platforms, and social media channels.
  • Promoting departmental programs at inperson and virtual recruitment events.
  • Collating and organizing quantitative and qualitative data for various reports (including data analytics), especially with respect to stipend budget analysis, tracking departmental stipendiary hiring needs and ensuring adequate teaching assignments for all faculty in accordance with the current workload policy.
  • Advising students, e.g. by providing information on program and/or course eligibility requirements, procedures, policies and deadlines; Reviewing and approving changes to program requirements for exceptional cases; and liaising with the Registrar's Office.
  • Hiring CUPE 3902 Unit 1 course instructions and Unit 3 sessional lecturers (incl. staying up to date on relevant collective agreements and policies).

Essential Qualifications:


  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three years related to student advising and administrative experience in a postsecondary academic environment, preferably in a multidisciplinary department.
  • Experience with outreach and events organization or student recruitment initiatives.
  • Experience with the University's Student Information System ROSI (Repository of Student Information), Degree Explorer or a similar student database system such as the Curriculum Manager.
  • Highly proficient computer skills, particularly with Microsoft Office (Word, Excel, Outlook, Access, and PowerPoint), Adobe Creative Suite and online social media platforms.
  • Strong analytical skills with experience compiling and analyzing information for reports, and identifying trends to develop solutions and strategies.
  • Knowledge or experience in web authoring and WordPress websites is highly preferred.
  • Strong time management skills with the ability to effectively manage work under pressure and meet competing deadlines.
