Purpose of the Role


The Administrator, Client Intake & Billing will be expected to support a range of services including reporting conflict search results, opening new clients/matters and billing and provide administrative support.

Key Responsibilities- Perform conflict searches and analyze results and tracking results, in accordance with established protocols- Review of client/matter intake requests in compliance with Firm protocols- Open files, assist with billing functions in accordance with client requirements and established protocols- Perform ongoing client profile updates (client name change, reopening, additional parties)- Overseeing minute book transfers, including opening new clients/matters or existing clients/new matters through InTapp- Complete new business intake procedures- Review of client billing on a monthly basis ensuring that docketing narratives are being followed- Tracking matter budgets and preparing and monitoring matter tracker to be sent to client on a monthly basis- Tracking the security of all client matters with respect to conflicts, adding and updating lawyers and clerks as required

Key Competencies- Knowledge of conflict of interest process and general principles- Excellent interpersonal, organization, communication, and time management skills- Strong problem solving and decision making skills with the ability to assess situations objectively in a time sensitive environment- Experience in database searching and interpreting data- Ability to work independently within a team environment, follow instructions with mínimal supervision and take initiative- Ability to work well under pressure- Ability to set priorities to meet tight deadlines- Detail-oriented individual with strong writing and proofreading skills

Additional Requirements- Minimum three years of experience in a legal environment preferred; or any equivalent combination of training, education, and experience that demonstrates the ability to perform the duties of the position- Proficient in office software: Word, Excel, and Outlook- Knowledge of SharePoint, InTapp Open Conflicts and Intake; CMS Aderant; Progress; World-Check would be an asset- Bilingual in French and English would be an asset
