Pettinelli Mastroluisi LLP is an accounting firm with over 35 years of experience and is the business partner of choice for privately owned corporations, their shareholders and non-profit organizations throughout Hamilton and surrounding areas.

The firm employs 50+ employees and offers services in accounting, advisory, taxation and valuation/litigation support services.


Our valuation/litigation services include business valuations for a variety of purposes, income available for support reports, tax consequences of marital dissolutions, expert witness testimony, consulting and participation in settlement negotiations, commercial loss quantification, business interruption calculations, forensic analysis, and tracing, and personal injury loss reports.


Roles and Responsibilities:


  • General duties: _
  • Provides general administrative and operational support including photocopying, filing, faxing, scanning, data entry, etc.
  • Produces draft documents including invoices/bills, letters, and general correspondence.
  • Answers and directs phone calls. Corresponds with clients regularly.
  • Assists with cleanliness and/or organization of office common areas.
  • Assists Partners with inputting time and produces reports.
  • Provides coverage for other administrative team members as needed.
  • Helps maintain electronic and physical filing systems.
  • Other duties as assigned or as needed.
  • Accounts Receivable duties:_
  • Perform Accounts Receivable collection calls, including collecting and tracking appropriate documentation.
  • Posting of credit card, EFT, and cheque deposits in Accounting Software as required.
  • Collects revenue by reminding delinquent accounts and notifying customers of insufficient payments.
  • Prepares financial reports by collecting, analyzing, and summarizing account information and trends.
  • Verifies accounts by reconciling statements and transactions.
  • Assist with balancing Accounts Receivable at monthend.
  • Assist in researching, tracking, and resolving discrepancies.
  • Resolves account discrepancies by investigating documentation and issuing stop payments, payments, or adjustments.
  • Maintains financial security by following internal accounting controls.
  • Filing of all relevant paperwork in the appropriate files including invoices and contracts.
  • Assist team with month/quarter/yearend deliverables as needed.

Qualifications:


  • Education _
  • A postsecondary education in business administration is an asset
  • Business related courses would be beneficial but not necessary
  • Experience_
  • Minimum 1 years' experience in an accounts receivable role.
  • Minimum 1 years' experience working in an administrative assistant position preferred.
  • Skills and Knowledge_
  • Microsoft Word and Excel
  • Data entry
  • Employ strong prioritization skills and a sense of urgency
  • Detail orientated
  • Strong problemsolving skills
  • Selfstarter with a high level of organizational and time management skills
  • Excellent verbal & written communication skills
