The Receptionist/Administrative Assistant is the first point of contact into our office and is generally responsible for greeting and welcoming our visitors, handling incoming calls, managing pickup and drop off parcels/documents and assisting on data entry related tasks.


Responsibilities:


  • Serve visitors by greeting, welcoming, directing and announcing them appropriately.
  • Answer, screen and forward any incoming phone calls while providing basic information when needed.
  • Act as the first point of contact when staff have general inquiries on CDLSI related topics.
  • Maintain updated lists for internal and external contacts.
  • Research, process, and schedule pick ups for parcels/documents, via mail service companies.
  • Receive and process deliveries.
  • Produce and distribute correspondence to staff or external contacts.
  • Process data entry of invoices, cheques, letters/notices, insurance etc.
  • Book travel arrangements, provide registration for seminars and conferences.
  • Set up meetings, managing calendars and maintaining tidiness of our meeting rooms.
  • Handle catering requests and orders.
  • Maintain and prepare accounting/finance related reports.
  • Perform other clerical receptionist duties such as filing, scanning, collating, faxing etc.
  • Other duties as assigned.

Qualifications:


  • 1+ years experience as a Receptionist or Administrative Assistant.
  • Proficient with Microsoft Office (Word, Excel, and Outlook).
  • Excellent written and verbal communication skills.
  • Aptitude to be resourceful, proactive resourceful, solutionoriented, and techsavvy.
  • Outstanding attention to detail.
  • Ability to organize, multitask, prioritize, and work under pressure.
  • Bilingual in French is an asset.
