Position Description:


The Canadian Pediatric Cancer Consortium (CPCC) is a new initiative (lead institution SickKids) to build a national childhood cancer strategy that will change the way children's cancers are researched and treated.

The vision of the CPCC is that every Canadian child with cancer will have access to the latest scientific advances, diagnostic tools, therapies and supportive care leading to better outcomes and a better quality of life.

The CPCC includes clinicians, researchers, survivors, patient advocates and other stakeholders from across Canada who have diverse experience and expertise.

We are currently seeking an administrative professional to join our team.

In this role you will be a key member of the CPCC program team and will be responsible for a broad range of administration and coordination activities to facilitate the implementation of the CPCC's Thematic Groups, research projects, consortium-building and engagement work.


Reporting to the Director, Strategy and Operations and working closely with the Engagement and Partnerships Program Manager, the Executive Director, other CPCC staff and the CPCC Executive Committee, the administrative team member will be the primary point of contact for the scheduling of time with the Director and other CPCC Office team members.

The administrative professional will be integral to the day-to-day operations of the consortium. This position requires a proactive and action-oriented individual with excellent organizational, interpersonal, multi-tasking and problem-solving skills.


KEY TASKS:


  • Provide administrative support to the Director, Program Manager and CPCC Office
  • Act as primary point of contact for all other administrative and/or executive assistants seeking availabilities of the Director, Program Manager and the CPCC Office
  • Organize meetings on behalf of CPCC staff and governance bodies for CPCC by preparing agendas, background material and taking minutes of meetings (when needed).
  • Coordinate workshops/meetings by helping develop presentations and meeting material, taking meeting minutes (when needed), arranging travel, accommodations and reimbursements, supporting registration, settingup and cleaningup meeting rooms, arranging catering, etc.
  • Contribute to the development of guidelines, procedures and standards
  • Coordinate, process, and track the submission of invoices and expenses
  • Organize, maintain and manage electronic file sharing systems to support CPCC Office (internal) and CPCC Executive Leadership and Co-Leads (external)

QUALIFICATIONS:


  • Minimum three (3) to five (5) years of experience in a comparable administrative role
  • Ability to work with great efficiency and to perform multiple concurrent tasks
  • Demonstrated interest, enthusiasm, dedication, flexibility and willingness to seek/undertake tasks and learn new skills
  • Excellent English communication skills, both written and verbal, to facilitate effective communications with a diverse range of stakeholders and to communicate with external collaborators and users.
  • French language skills considered an asset
  • High computer proficiency with specific knowledge of Microsoft Office 365 apps/tools and video conferencing programs (i.e., Zoom, Teams, etc.)
  • Ability and willingness to accept responsibility, use good judgment, and work proactively and effectively.
  • Ability to work under pressure and pay attention to detail
  • Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines (efficient at completing and following up on tasks)
