Facilities Administrator:


The Facilities Administrator is responsible for providing administrative support to the Corporate Facilities, Real Estate and Corporate Supply Chain groups.

This involves performing a range of senior level administrative functions and coordinating confidential information and documentation flow across the respective groups.


What you'll do

  • Provide administrative support including coordinating meetings and appointments, organizing travel arrangements, and preparing confidential correspondence, documents and reports.
  • Conducting a review of monthly expense reports.
  • Manage business licenses for all Seaspan locations.
  • Maintain shuttle ridership statistics and answer queries from ridership personnel.
  • Maintain the lease database for director review and ensure notices, rent requisitions and renewal letters are prepared in a timely manner.
  • Supports audit and budget process by ensuring communication and adherence to the schedule.
  • Assists with the preparation and management of the budget for the facilities.
  • Prepares meeting materials and presentations.
  • Prepares meeting agenda, schedules meetings and appointments, organizes teleconference and video conference calls setups, maintains meeting action list and coordinates meeting followup.
  • Coordinates business functions the office hosts, including organizing invitations, venue, catering, set up and logistics.
  • Prepares expense reports and approves invoices. Prepares confidential cheques or cheque requests as required.
  • Organizes and prepares meeting rooms, welcomes external guests and offers refreshments.
  • Performs additional duties as assigned.

What you'll bring

  • Minimum 5 years Executive Assistant or Facilities Administrative experience in a corporate office environment. Experience working within an industrial environment is preferred.
  • Experience preparing, analyzing and monitoring departmental budgets (both labour and operational expenses) is preferred.
  • Planning, organizational, negotiation and time management skills.
  • Interpersonal, communication and business writing skills.
  • Ability to communicate at all levels within and outside of the organization.
  • Tact, diplomacy, maturity, and a high level of professionalism.
  • Customer service orientation and sense of urgency.
  • Ability to work independently with mínimal supervision, as well as in a team environment.
  • Ability to prioritize and problem solve under tight time pressure.
  • Accuracy and attention to detail.
  • Ability to handle direction and guidance from multiple sources.
  • Ability to exercise discretion and sound judgement.
  • Sophisticated computer proficiency in Microsoft PowerPoint, Word, Excel, and Outlook, internet functions (including the use of search engines to research information).
  • Ability to work flexible hours.
