Executive Assistant - COO.

Responsibilities (Including but not limited to the following)
_ Administrative Support:
_
- Spearhead streamlined standard operating procedures and administrative processes.
- Proactively prompt and flag priorities.
- Facilitate meetings, meeting minutes, agendas, and action items.
- Maintains a wellorganized environment to enable success with high attention to detail.
- Ensure strict confidentiality and the utmost discretion are maintained in handling sensitive information and communicating with all stakeholders.
_ Executive & Leadership Support:
_
- Deliver executive administrative tasks to ensure efficient and effective workflow, communications, and operations.
- Partner with the executive team to anticipate and address corporate issues.
- Facilitates communication from strategic project teams, department managers, and business unit leaders to strengthen organization alignment and coordination.
- Coordinates the logistics of executive team meetings, seminars, workshops, special projects, and events. Responsible for recording, preparing and distributing minutes of management meetings.
- Act as a liaison between the COO and internal/external stakeholders.
- Manage the preparation of background and supporting material, meeting documents and PowerPoint presentations for the COO with mínimal direction.
- Prepare agendas, documents, and presentations for meetings attended by the COO.
- Ensure the COO is wellprepared and informed for all engagements.
- Manage calendars, planning, and agendas and promote an efficient approach to leadership time management. Manage travel requirements to domestic and international locations.
_Special projects & proposal writing support:_
- Actively participates in proposal writing in response to RFPs. Collaborate with crossfunctional teams to gather necessary information for proposal content.
- Light project management responsibilities in support of the COO.
- Assist in the coordination and execution of unique projects and initiatives as assigned by the COO.
- Conduct research and provide background information as needed.
- Conduct research and prepare reports for the COO to help inform decisionmaking.
_ Team Collaboration:

Build and maintain positive working relationships internally and externally.
- Can maintain a realistic balance among multiple priorities while working in a highvolume & fastpaced environment with tight deadlines.
