Job Description Summary
The position is responsible for day to day operations of the shipping and receiving functions of the Botany and Zoology departments.
Organizational Status
Primarily reports to the Administrator of Botany and secondly the Administrator of Zoology. This position may be required to communicate with UBC departments and external vendors regarding purchases.
Work Performed
Responsible for tracking, receiving and recording a variety of deliveries and shipping for packages, parcels, (biological/chemical waste, glass waste, and gas deliveries).
Receives incoming orders, checks shipping papers for accuracy and product damages, informs end users of orders received, enters information into ticket tracking system.
Ensures perishable items are picked up by the end of the day, delivered, or stored appropriately. Advises and assists, if required, the end user in the preparation of shipping matters including accurate documentation.Works closely with lab technicians and coordinates proper disposal of biological/chemical waste, glass and e-waste. Oversees hazardous and glass waste disposal areas for cleanliness and arranges cleaning as required.
Advises faculty, staff, and students on procedures and regulations concerning biological/chemical waste disposal.
Receives and arranges deliveries of materials and supplies to various staff and research groups in the Botany and Zoology departments.
Delivers all packages and shipments (up to 50 lbs) to the teaching labs (in multiple buildings) at the end of the day.
Receives and records all equipment; arranges for the proper disposal of old research and departmental equipment. Assists with moving, loading and unloading of large equipment to/from truck.Maintains warranty and service contract records for research and teaching equipment.
Responsible to review/verify non-transgenic soil is properly autoclaved from lab users. Provide lab users access to a designated green soil bin for proper disposal located at the Beaty Biodiversity Centre.
Coordinates requests to borrow Botany and Zoology departmental vehicles, ensuring all necessary requirements are met, including that the driver is authorized, vehicle is booked in shared calendar, data is entered in vehicle log book, checking condition of vehicle on return etc.
Responsible for maintenance of department vehicles: ensuring that vehicles receive regular service and maintenance and maintains up to date service log for each.
Maintains an awareness of vehicle insurance expiry dates; collects insurance decals from Treasury and applies them to the vehicles prior to insurance expiry.
Consequence of Error/Judgement
Errors could result in loss of expensive research supplies, e.g. short half-life isotopes, if deliveries are not meticulously recorded and monitored. Loss of the supplies could delay or seriously affect research projects.
Supervision Received
Reports to the Administrators of Botany and Zoology; works independently.
Supervision Given
This position will not have supervisory responsibility.
Preferred Qualifications
High School graduation.
Successful completion of Health, Safety & Environment s courses in Transportation of Dangerous Goods UBC Receiver; Laboratory Chemical Safety; Hazardous Waste Management; and Spill Response Training.
Computer and database knowledge - 2 years relevant experience or the equivalent combination of education and experience.1 years relevant experience or the equivalent combination of education and experience.
Ability to exercise judgment, initiative and interpret policies and procedures. Knowledge of safety procedures for hazardous materials. Effective oral and written communication, interpersonal and organization skills. Effective problem-solving, prioritization and multitasking skills.
